Job summary

The University of New England is seeking a Project Assistant in Portland, ME, to support the Sexual Assault Nurse Examiners (SANE) program by providing a wide range of administrative assistance. Qualifications

Program Overview

The University of New England's Advanced Nursing Education-Sexual Assault Nurse Examiner (ANE‑SANE) Program is a federally funded initiative that expands Maine's Sexual Assault Forensic Examiner (SAFE) workforce through advanced training, simulation-based education, and trauma‑informed clinical preparation. The program strengthens statewide capacity to provide compassionate, evidence‑based forensic care to survivors of sexual violence.

Responsibilities
  • Perform regular administrative duties: answer phones, serve as department receptionist; type, print correspondences, reports, and manuals; order materials and supplies; maintain appointment calendars; set up meetings; photocopy; and more.
  • Organize and maintain project files and records, often using cross‑filing/cross‑reference systems.
  • Compile, order and oversee distribution and inventory of curricula printing and SANE documents.
  • Process specific curricula reporting paperwork and prepare for local partner.
  • Perform basic liaison functions with faculty, staff, contract evaluators, or other department/program constituents, routing to senior staff as appropriate.
  • Assist in creating meeting agendas and document packets.
  • Create and design materials as needed.
  • Attend regularly scheduled meetings, including quarterly meetings in Augusta; take minutes; disseminate electronically.
  • Coordinate logistics for training events.
  • Compile information from manual and computerized records, including use of Access databases.
  • Prepare/coordinate bulk or special departmental mailings using mail merge.
  • Edit project reports for spelling, grammar, formatting, etc.
  • Compile comprehensive end‑of‑year reports; assemble copies; disseminate electronically and in hardcopy.
  • Register participants for trainings/meetings and arrange travel and accommodations.
  • Confer regularly with supervisor, other department/University personnel, and firms/organizations to plan and coordinate activities, exchange information, and resolve problems.
  • Understand and comply with the University of New England Safety Manual.
  • Perform other related duties as assigned.
  • Travel to out‑of‑town trainings 2–3 times annually.
Qualifications

Associate's degree in business or another appropriate discipline, plus 2–3 years of relevant clerical and administrative experience, or a combination of education and experience providing comparable knowledge and skills.

  • Strong computer skills; proficiency in Microsoft Excel and Word required.
  • Strong administrative and organizational skills; experience with moderately complex filing and records systems; familiarity with Access database entry a plus.
  • Good reading, spelling/grammar, general writing, and math skills; familiarity with bookkeeping/accounting desirable.
  • Ability to effectively deal with a wide variety of University personnel, students, and/or outside individuals/organizations.
  • Previous UNE experience desirable.
