Role Description
This is a full-time, on-site role for a Flight Coordinator based in Fresno, CA. The Flight Coordinator will work within our dispatch team to support flight scheduling, planning, and logistical coordination to meet client needs. Responsibilities include collaborating with clients and flight crews, ensuring compliance with safety and operational protocols, preparing necessary documentation, and addressing customer inquiries. This role demands strong organizational and communication skills to deliver exceptional service and efficiency for our clients, their flights and our crews.
Responsibilities
- Coordinate aircraft availability and operational readiness.
- Arrange transportation, catering, lodging, permits, and related trip services.
- Maintain situational awareness of active flights, including progress, weather, and operational changes.
- Assist with delays, changes, and operational disruptions.
- Serve as a central communication point for crews, clients, and internal teams.
- Provide professional service while maintaining safety and compliance priorities.
- Review flight logs and operational records for accuracy and completeness.
- Maintain accurate dispatch and operational records.
- Review upcoming flights for compliance or operational risks and coordinate resolutions.
- Monitor flight and duty limits and resolve potential conflicts prior to departure.
- Ensure flights comply with FAA Part 135/91 regulations and company policies; prepare and issue flight releases.
- Ensure clear and thorough transition between shifts.
- Support schedule changes and last-minute trip adjustments.
- Support improvements to dispatch procedures and workflows.
Preferred Qualifications
- Customer service experience in hospitality, concierge or aviation environments preferred (minimum of 2 years)
- Proficient in Microsoft Office - Word, Excel, PowerPoint, Outlook
- Experience working rotating or on call shifts
- Open to supporting operations on occasion overnight, on weekends and holidays
Nice to have, but not required
- Experience in Part 135 or Part 91 flight operations, dispatch, or aviation scheduling environments
- Working knowledge of FAA regulations related to charter operations, crew duty limitations and operational control
- Prior experience supporting charter, managed aircraft or corporate flight departments.
- Familiarity with JetInsight or other flight scheduling or dispatch software platforms
