Job summary

AiLO Logistics in Compton, CA is seeking a detail-oriented Maintenance Clerk to support the Maintenance Department with invoice processing, PO tracking, vendor communication, fleet documentation and administrative workflow tasks.

This full-time on-site role requires a high school diploma and 2+ years in maintenance administration or related fields, plus proficiency with Excel, Word and Outlook. You will follow SOPs, help with month-end close, and maintain accurate records to support operations.

Qualifications

• High school diploma or GED is required.
• 2+ years in maintenance administration, invoice processing, or related fields preferred.
• Proficiency with Microsoft Excel, Word, Outlook, and related business systems.
• Familiarity with maintenance, inventory, or transportation management software preferred.
• Strong organizational skills with the ability to manage multiple tasks and deadlines.
• Excellent written and verbal communication with vendors and internal teams.

Responsibilities

• Process vendor invoices accurately and timely in the Transportation Management System (TMT).
• Review purchase orders, repair orders, receipts, and supporting documentation for accuracy and compliance.
• Communicate with vendors to resolve invoice discrepancies, missing documentation, pricing issues, or billing concerns.
• Coordinate with Accounting to ensure invoices are approved and processed within required timelines.
• Maintain and update the Purchase Order report daily to support visibility and month-end close requirements.
• Follow customer-specific SOPs for maintenance, invoice processing, documentation, and billing terms.
• Track, record, and file receipts for maintenance-related purchases.
• Charge parts, materials, fuel, rentals, and other maintenance-related expenses accurately.
• Process assigned maintenance workflow tasks, including fuel invoices and asset movement.
• Enter and validate mileage records in TMT for trucks and trailers.
• Maintain organized records for registrations, titles, inspections, and other fleet documentation.
• Provide administrative support to the Maintenance Department and assist with additional duties as assigned.
• Perform additional duties and special projects as needed to support operations.
