Job summary

Hogan Transportation is seeking an organized administrative professional to support daily office operations across North America. You will perform clerical tasks, manage documents, process daily records, and assist with invoicing and audits in a fast-paced environment.

The ideal candidate has a high school diploma (associates preferred), strong MS Office skills, excellent communication, and the ability to prioritize multiple tasks with attention to detail. Transportation experience is a plus.

Qualifications

  • High school diploma.
  • Associates degree preferred; 2 years experience in an administrative role.
  • Advanced skills with Microsoft Office (Word, Outlook, Excel).
  • Transportation experience a plus.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.

Responsibilities

  • Completes clerical/administrative assignments per procedures and under general instruction.
  • Prints, scans, and updates documents per office practices.
  • Creates and files documents relating to department operations.
  • Updates department spreadsheets as needed.
  • Process daily records from customers; data entry and uploads.
  • Responds to customer inquiries and coordinates with internal departments; investigates concerns.
  • Monitors emails and handles correspondence per procedures.
  • Generates reports from data in various systems.
  • Open and route incoming mail; prepare outgoing mail.
  • Assists in administration and office support functions with records.
  • Drafts and prepares written documents, spreadsheets, and presentations.
  • Assist with customer invoicing and audits.
  • Performs special projects and other duties as assigned.
  • Cross-train across department specialties.
  • May assist other departments as needed.
