Job summary

Utility Supply & Construction Company is seeking a dedicated Fleet Administrator to join our Novi, Michigan team. You will organize and coordinate fleet operations, manage the fuel program, and ensure accurate cost capture.

The role requires proficiency in fleet software and Excel, with a focus on regulatory compliance and data-driven decision making. The right candidate will demonstrate strong organizational skills, the ability to multitask, and the capacity to collaborate with internal teams

Qualifications

  • Associate degree in a related field preferred.
  • 1–3 years of experience in fleet compliance or a related role.
  • Strong organizational, critical thinking and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient with fleet management software and Excel.
  • Knowledge of vehicle maintenance and regulatory requirements.

Responsibilities

  • Organize and coordinate workload efficiently.
  • Plan, prioritize, and timely execute tasks.
  • Demonstrate proficiency in fleet software systems.
  • Manage day-to-day fuel program including bulk fuel and fuel cards.
  • Handle IFTA and state fuel taxes reporting and credits.
  • Oversee telematics and GPS systems for assets.
  • Approve invoices to capture equipment and job costs.
  • Respond to storm or emergency work as needed.
  • Collaborate with internal teams and vendors.
  • Leverage Excel for data analysis and reporting.

Essential Job Functions:

  • Ability to organize and coordinate workload.
  • Effective in the planning, prioritization, and timely execution of work.
  • Demonstrates proficiency in fleet software systems.
  • Manage day-to-day fuel program: systems, bulk fuel, fuel cards, and costs.
  • Manage IFTA, state fuel taxes reporting, and tax credits.
  • Manage day-to-day functions with telematics and GPS system.
  • Responsible for invoice approvals to accurately capture equipment costs, and job costs.
  • Ensure your availability to respond to Storm or Emergency work that my occur from time to time for support of company needs.
  • Effectively work in a team environment, with internal operating groups and vendors.
  • Strong analytical skills, detailed oriented, and considerable experience with Microsoft Excel is critical to this role.
  • Ability to build strong relationships with vendors.

Requirements:

  • Associates degree in Supply Chain, Business Administration, Logistics, Accounting, or related field preferred.
  • 1-3 years of experience in fleet compliance, construction environment or a related role.
  • Strong organizational, critical thinking, decision making, and multitasking skills.
  • Excellent communication, interpersonal skills, email, and telephone skills.
  • Proficiency in using fleet management software and Microsoft Excel.
  • Knowledge of vehicle maintenance and regulatory requirements.
  • Ability to analyze data and generate meaningful reports.
  • Strong problem-solving skills and attention to detail.
