Job summary

Utility Supply & Construction Company is seeking a Fleet Administrator to join our growing team. The role emphasizes organizing workload, coordinating fleet operations, and ensuring accurate cost capture through fleet software and Excel.

The ideal candidate has 1–3 years in fleet compliance or related settings, and demonstrates strong analytical, communication, and multitasking abilities while working with vendors and internal groups.

Qualifications

  • Associates degree in Supply Chain, Business Administration, Logistics, Accounting, or related field preferred.
  • 1-3 years of experience in fleet compliance, construction environment or a related role.
  • Strong organizational, critical thinking, decision making, and multitasking skills.

Responsibilities

  • Organize and coordinate workload.
  • Plan, prioritize, and execute work timely.
  • Proficient with fleet software systems.
  • Manage day-to-day fuel program including systems, bulk fuel, fuel cards and costs.
  • Handle IFTA, state fuel taxes reporting and tax credits.
  • Oversee telematics and GPS system daily.
  • Approve invoices to accurately capture equipment and job costs.
  • Be available for storm or emergency work as needed.
  • Work effectively in a team with internal groups and vendors.
  • Demonstrate strong Excel skills and vendor relationship building.

Essential Job Functions:

  • Ability to organize and coordinate workload.
  • Effective in the planning, prioritization, and timely execution of work.
  • Demonstrates proficiency in fleet software systems.
  • Manage day-to-day fuel program: systems, bulk fuel, fuel cards, and costs.
  • Manage IFTA, state fuel taxes reporting, and tax credits.
  • Manage day-to-day functions with telematics and GPS system.
  • Responsible for invoice approvals to accurately capture equipment costs, and job costs.
  • Ensure your availability to respond to Storm or Emergency work that my occur from time to time for support of company needs.
  • Effectively work in a team environment, with internal operating groups and vendors.
  • Strong analytical skills, detailed oriented, and considerable experience with Microsoft Excel is critical to this role.
  • Ability to build strong relationships with vendors.

Requirements:
