Job summary

CJM Facility Solutions is seeking an organized service scheduler to coordinate field technicians, manage service appointments, and ensure timely completion of jobs.

The successful candidate will schedule calls based on technician availability, location, and priority, maintain accurate records, and communicate clearly with customers and team members. Prior scheduling experience in a maintenance or service environment is required.

Qualifications

• Previous professional scheduling experience is required.
• Experience coordinating appointments, service calls, field personnel, or dispatch operations.
• Strong organizational and time management skills.
• Excellent verbal and written communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Proficiency with computers, email, spreadsheets, and scheduling software.
• High attention to detail and commitment to maintaining accurate records.
• Dependable, professional, and comfortable working both independently and as part of a team.
• Experience in commercial facility maintenance, HVAC, plumbing, electrical, construction, or a related service industry.
• Previous experience scheduling field technicians or coordinating service dispatch.
• Experience coordinating emergency service requests or working with different locations.

Responsibilities

• Coordinate and maintain daily schedules for field service technicians.
• Assign service calls based on technician availability, skill set, location, and job priority.
• Schedule routine maintenance, repairs, follow up visits, and emergency service requests.
• Monitor technician schedules and adjust assignments as priorities or circumstances change.
• Coordinate appointment times, job details, and service requirements with technicians.
• Help maximize technician productivity while minimizing unnecessary travel and scheduling gaps.
• Communicate schedule changes promptly with all affected parties.
• Communicate with customers to schedule appointments, confirm service windows, and provide updates.
• Respond to scheduling inquiries professionally and in a timely manner.
• Notify customers of delays, rescheduled appointments, or changes in technician availability.
• Maintain positive customer relationships through clear, consistent communication.
• Escalate urgent service issues or customer concerns to the appropriate team member.
• Enter and maintain accurate scheduling information in company systems.
• Maintain accurate records of appointments, schedule changes, and service status.
• Assist with improving scheduling processes and operational efficiency.
