Job summary

Community College of Allegheny County is seeking a Faculty Secretary (Regular Full-Time) at South Campus to provide general secretarial support for the Allied Health division. The role includes scheduling, correspondence, and filing, with occasional after-hours or weekend hours to meet department needs.

The position requires a high school diploma or GED and prior office experience. Excellent organization, communication, and customer service skills are essential.

Responsibilities

  • Prepares exams, quizzes, syllabi/course outlines, correspondence, memos, reports and other forms for department faculty.
  • Screens phone calls; receives and directs visitors; handles mail delivery.
  • Coordinates printing/duplication of materials and bulk mailings to online students and community organizations.
  • Maintains schedules for students and faculty, including meetings and events; manages room reservations and changes as needed.
  • Orders and maintains office supplies and textbooks; creates purchase requisitions and petty cash requests.
  • Assists with trip requests and expense reporting; maintains records and logs.
  • Prints rosters, test scores and related documents; monitors enrollment per attendance periods.
  • Schedules repairs for office/classroom equipment; copiers and scanners.
  • Assists students with drop/add, audits, and enrollment forms.
  • Performs duties in accordance with laws, policies, and directives.
  • Performs other clerical duties as needed.

Position Title: Faculty Secretary (Reg FT)

Employment Type: Regular Full-Time

Department: Allied Health

Campus: South Campus

Salary Grade: SEIU C - $17.40

Remote Work Option: Fully In-Person (May be subject to change)

Work Hours: Standard College hours are Monday - Friday, 8:30 am - 4:30 pm; Additional hours, including evening and weekend hours, may be needed to meet the needs of the department.

General Summary: Performs a variety of general secretarial duties for division faculty, including preparing correspondence, scheduling, typing and filing.

Requirements

Education and Experience: High school diploma or GED and experience in an office environment gained through previous job related or educational training.

Certifications/Licensures: N/A.

Skills/Abilities Requirements
  • Ability to travel to perform work duties at any campus or center location within the CCAC system.
  • Must be able to operate various office equipment, including a personal computer and appropriate College software packages or equivalent.
  • Should possess good organizational, customer service, communication, interpersonal and clerical skills.
  • Detail oriented, ability to multi-task meet deadlines and be a team player.
  • Required to have regular and timely attendance.

Physical Requirements, If Applicable: Must be able to work in a general office environment with the ability to sit for at least 2 hours without interruption. Ability to lift textbook shipping boxes and load into cabinets, lift and unload copier paper boxes.

Duties
  • Prepares exams, quizzes, syllabi/course outlines, correspondence, memos, reports and other forms for department faculty (to/for students, bookstore, community and/or other necessary personnel).
  • Screens phone calls; receives and directs visitors; receives, sorts and delivers mail to appropriate faculty/personnel.
  • Coordinates the printing and duplication of materials; coordinates bulk mailings of fliers and brochures to be sent to online students, area schools and community organizations.
  • Maintains schedule for students and faculty, including scheduling meetings, department events, conference calls, rooms (both scheduling and requesting changes when necessary).
  • Maintains and orders office, department and classroom supplies including textbooks; Creates purchase requisitions, vouchers, blanket orders, petty cash requests.
  • Prepares and follows through with trip requests and expense reports.
  • Maintains records; cancellation logs, syllabi/course outlines, mailbox list updates, textbook inventory, faculty directory, student and faculty information.
  • Prints rosters, test scores and other necessary paperwork; monitor enrollment per attendance reporting requirement period throughout semester for faculty.
  • Schedules repairs of various office/classroom equipment; copiers, Scantron.
  • Assists students with prep of drop/add, audit agreements, permission to enroll forms.
  • Perform all duties in accordance with applicable laws, collective bargaining agreements, board policies and administrative regulations and directives.
  • Performs other clerical duties for specific/unique needs of the department.
  • Performs other related duties as required or assigned.
