Job summary

Community College of Allegheny County (CCAC) is seeking an Administrative Assistant II to provide advanced paraprofessional support in the Office of College Services.

The role focuses on complex clerical work, confidentiality, and coordinating meetings and travel for the VP's Office.

Qualifications

  • Associate degree or 60 college credits; Bachelor's preferred.
  • Minimum 5 years in a responsible paraprofessional admin role; typing 60 wpm; strong organization.
  • Proficiency in Microsoft Word and Outlook; Excel and PowerPoint preferred.
  • Ability to maintain confidentiality and work with limited supervision.

Responsibilities

  • Perform complex, confidential clerical duties in support of the VP's office.
  • Coordinate internal/external meeting logistics and travel arrangements.
  • Prepare correspondence, reports, and meeting materials.
  • Schedule meetings and manage calendars for executives.
  • Assist with budget processes and purchasing for the department.
  • Build positive relationships with staff, colleagues, and the public.
  • Create and share post-event content (e.g., LinkedIn) to showcase outcomes.

Position Title: Administrative Assistant II (Reg FT)
Employment Type: Regular Full-Time
Department: Facilities Management

Salary Grade: EXCL - Administrative Assistant II - $43,965
Remote Work Option: Fully In-Person (May be subject to change)
Additional Information:

This position will remain open until filled. Work Hours:

Standard College hours are Monday – Friday, 8:30 am – 4:30 pm; Additional hours, including evening and weekend hours, may be needed to meet the needs of the department.

General Summary:

Performs advanced paraprofessional assistance to the CampusPresident or Vice President; responsible for highly responsible and complexclerical and administrative duties; may assign and review the work of assignedclerical personnel.

Requirements
  • Associate’s degree or completion of at least 60 college credits, Bachelor’s preferred.
  • Minimum of 5 years experience in similar responsible paraprofessional administrative position; typing (minimum 60 wpm); excellent organization and communication skills; ability to maintain confidentiality; ability to work under limited supervision.
  • Knowledge of Microsoft Word and Outlook is essential.
  • Knowledge of Excel, PowerPoint and the ability to navigate the Internet strongly preferred.
Duties
  • Perform a wide variety of complex, responsible, and confidential paraprofessional administrative duties in support of the Vice President’s office.
  • Assist in coordinating the logistics for internal/external meetings, and events. This includes ensuring external database contact information is up to date, assisting in tracking RSVPs, preparation of event materials and gathering/maintaining records and survey results.
  • Perform senior level clerical duties including preparing correspondence and reports, organizing and planning projects and functions, scheduling meetings, distributing mail; screening calls and visitors; and organizing files.
  • Coordinate and make travel arrangements; maintain appointment schedules and calendars; arrange meetings and conferences.
  • Order and purchase supplies for the department, including creating and submitting pre-authorized requisitions and vouchers on behalf of the Vice President.
  • Participate and assist in the administration of a department budget; compile annual budget requests and recommend expenditure requests for designated accounts.
  • Assist with the preparation of meetings, including drafting, editing, compiling, and distributing communications such as meeting agendas & minutes, emails, newsletters, invitations, surveys and other written & electronic materials.
  • Build and maintain positive working relationships with co-workers, other College employees and the public using principles of good customer service.
  • Create and share reviewed & approved post-event content, including photos and highlights, on platforms like LinkedIn to showcase event success and enhance community engagement.
  • Perform other duties as assigned.
