Job summary

Jones Lang LaSalle Incorporated is seeking a Scheduler to coordinate vendor-maintained maintenance and project work at our North Seattle, WA facilities. The role requires organizing workloads, onboarding vendors, and maintaining safety and site procedures.

You will schedule activities, manage access and permits, and monitor vendor progress while ensuring minimal disruption to facility operations. A CMMS background (Corrigo preferred) and 2+ years in scheduling are expected.

Qualifications

• High school diploma or equivalent.
• 2+ years of facilities scheduling, dispatch, vendor coordination, or similar experience.
• Experience using a CMMS; Corrigo experience preferred.
• Knowledge of maintenance operations, PM programs, work-order management, and vendor coordination.

Responsibilities

• Coordinate and schedule vendor-performed maintenance, repair, testing, inspections, and project work across assigned facilities.
• Serve as the primary point of contact for vendors before, during, and after site visits.
• Ensure all vendors are properly onboarded, trained, authorized, and registered per site requirements.
• Schedule facility activities on calendars to ensure visibility and coordination with stakeholders.
• Coordinate site access, security, parking, escorts, permits and work authorizations for vendor activities.
• Escort vendors and contractors on site and ensure compliance with safety procedures.
• Verify JHAs, safety permits and docs are completed before work begins.
• Ensure compliance with Lockout/Tagout and energy control procedures.
• Coordinate equipment shutdowns, startups, and utility isolations per procedures.
• Review scheduled work for operational impacts and risk to facilities and operations.
• Provide advance notification to affected parties regarding outages and maintenance per procedures.
• Coordinate activities within critical environments (labs, vivariums, data centers, etc.).
• Ensure monitoring systems remain operational and comms pathways to monitoring hubs are maintained.
• Coordinate alarm management activities, including bypasses and restorations.
• Monitor vendor progress and respond to schedule changes and issues to minimize disruption.
• Maintain records of vendor activities, permits, and work status in CMMS.
• Create/update work orders, service requests, and completion documentation in CMMS.
• Track vendor performance, schedule adherence, and closeout requirements.
• Communicate schedule changes and readiness to facilities leadership and stakeholders.
