Responsibilities

  • Assist in maintaining space inventory and facility maps for NWACC locations
  • Co-administer Ad Astra scheduling system to manage classroom/resource data
  • Oversee Physical Plant records, arrange destruction, and manage warranties
  • Coordinate surplus asset management and support budget tracking
  • Manage ServiceNow CMMS data, preventive maintenance, and work orders
  • Prepare and track Physical Plant budget and utility usage records
  • Monitor parts/supplies inventory and equipment certifications
  • Administer key/access systems and track issuances/returns
  • Develop facility policies and ensure legal/compliance adherence

Facilities Fiscal Support Analyst

The Facilities Fiscal Support Analyst acts as the facilities coordinator and provides administrative support to the Physical Plant Department. Responsibilities include managing records for the department, departmental budget, ServiceNow software, and other duties as assigned. The position also serves as Co-Resource Administrator for the Ad Astra system, maintaining its features and resources. All duties are performed in accordance with local, state, and federal laws as well as institutional policies.

Essential Duties:
  • Assist in the maintenance of current space inventory and facility maps for all NWACC locations; co-administer the Ad Astra scheduling system to manage classroom and resource data
  • Oversee the NWACC Physical Plant records, arrange records destruction, and maintain warranty, and vehicle records; assist with the coordination of surplus asset management
  • Manage the ServiceNow CMMS database, including preventive maintenance scheduling and user access, and handle work order requests for Physical Plant staff
  • Prepare and track the Physical Plant's budget, manage utility usage records, handle Wright Express fuel card activity, and process purchase requisitions and contracts
  • Monitor parts/supplies inventory, maintain inspection schedules and equipment certifications (e.g., FCC licenses, generators, elevators, fire systems)
  • Administer physical and electronic key/access systems using Key Wizard and Keri Client software; track issuance/returns and coordinate changes
  • Develop and interpret facility-related policies and procedures; ensure compliance with state/federal laws; prepare reports and manage inspection documentation
Rate of Pay:

$18.55 per hour *Higher compensation may be considered based on qualifications directly related to position.

Minimum Qualifications:
  • The formal educational equivalent of an associate degree in business administration, or a related field
  • Two years of office management experience

Other job-related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee

Knowledge, Skills, and Abilities:
  • Ability to work effectively with employees at all levels, build relationships across the institution, and communicate clearly in written and oral formats
  • Skilled in MS Office (Word, Excel, PowerPoint, Access) and experienced with HRIS systems
  • Capable of handling sensitive information with discretion in accordance with state, federal, and institutional policies
  • Self-starter who takes initiative, manages responsibilities with minimal supervision, and maintains high performance standards
  • Strong ability to manage time, multitask, and stay organized in a fast-paced environment
  • Proficient in conducting research, analyzing data, performing quality assurance reviews, and recommending actions
  • Understanding of personnel laws, planning and analysis techniques, and departmental policies and operations
