  • Develop project scopes, budgets, and schedules for capital improvement initiatives.
  • Conduct feasibility studies and risk assessments.
  • Prepare and manage RFPs, bids, and contract negotiations.

Communication and Organization
  • Strong organizational skills with ability to manage multiple projects simultaneously.
  • Excellent communication and stakeholder management skills.
  • Maintain detailed project documentation and ensure timely follow-up on all action items.
  • Schedule and lead project meetings with internal teams/stakeholders and external vendors.
  • Provide regular updates to the Director of Facilities on progress, challenges, and next steps.
  • Expertise in scheduling, meeting coordination, note taking and follow-up processes.
Timeline Adherence:
  • Monitor project milestones and proactively address delays to keep projects on schedule.
  • Implement corrective actions when timelines are at risk.
Budget Management & Reconciliation:
  • Manage project budgets, track expenditures, and reconcile costs against approved allocations.
  • Prepare financial reports and ensure transparency in budget adjustments.
  • Support annual budget planning and Capital Improvement Planning (CIPs) by identifying project needs, estimating costs, and aligning proposed investments with firm priorities.
  • Report out to stakeholders on a regular basis.
  • Oversee contractors, consultants, and vendors to ensure adherence to specifications and timelines.
  • Monitor progress, when applicable present change order requests, and resolve issues promptly.
Compliance & Quality Control:
  • Ensure compliance with building codes, ADA requirements, and safety regulations.
  • Implement quality assurance processes throughout the project lifecycle.
  • Coordinate with internal teams, architects, engineers, vendors, and external partners.
  • Maintain clear communication and provide updates to stakeholders.
  • Serve as the day-to-day point of contact for facilities-related project coordination, responding to routine questions, escalating issues as needed, and ensuring timely communication between internal stakeholders and external partners.
  • Support day-to-day facilities and administrative services operations, including invoice coordination, understanding site-specific needs, and serving as a point of contact for local Office Coordinators across firm locations.
Qualifications:

Bachelor's Degree. Minimum 5 years in facilities management or capital project management, with proven experience in large-scale renovations or construction projects. PMP and/or FMP certification a plus.

Must be comfortable with travel as needed for project oversight, vendor coordination, and site visits. Estimated travel requirement: up to 30% but must be flexible to project demands.
