Description
We are looking for a Facilities Coordinator to join our New York office.
You will provide operational support to all office personnel and ensure the efficient and effective coordination of daily activities to maintain smooth operations of the office, encompassing facilities coordination, reception tasks, and IT support.
Job Overview:
- Oversee the daily operations of office facilities, ensuring a safe and efficient working environment.
- Assist in maintaining the office space, ensuring all areas remain clean, organized, and fully stocked, including the pantry, kitchen, and storage room.
- Coordinate maintenance and repair activities, liaising with external contractors and service providers.
- Respond to facility-related issues and emergencies, providing prompt resolution.
- Manage office supplies and inventory, ensuring timely procurement and stock levels.
- Handle all mail, packages, and deliveries, including processing and distributing incoming mail and coordinating mail services.
- Implement and monitor health and safety protocols, conducting regular inspections and risk assessments.
- Support sustainability initiatives and energy-saving measures within the office.
- Assist in space planning and office moves, coordinating logistics and setup.
- Support the onboarding of new employees with the setup of office/workstations and building passes.
- Assist with the setup and breakdown of meetings, conferences, and events in the office.
- Maintain all conference rooms and meeting setups, including video conference needs.
- Maintain records of maintenance activities, service agreements, and compliance documentation.
- Provide backup coverage for facilities and reception, including light housekeeping duties and reception during lunch hours and absences.
- Provide and install hardware IT equipment (keyboards, mice, headsets, etc.).
- Offer basic IT support to office personnel and coordinate with the IT department for more complex issues.
- Ensure office equipment is properly maintained and functioning.
- Assist with troubleshooting and maintenance of office IT infrastructure.
Knowledge, Skills, and Abilities:
- High school diploma required.
- 2+ years of administrative experience in a corporate or professional environment.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
- Strong writing, proofreading, and communication skills.
- Ability to multitask and prioritize effectively.
- High attention to detail and a professional demeanor with confidentiality.
Salary ranges for New York, NY: $57,000 - $70,000, with additional benefits including bonuses, health/welfare, retirement, holidays, and PTO. Salary may vary based on factors such as experience, skills, and certifications.
