Job Description

Under the general supervision of the Director of Facilities & Administrative Services, this role ensures the efficient operation and maintenance of the organization’s facilities. The position involves collaborating with Service Lines and internal departments to manage facility operations, coordinate maintenance activities, supervise the Facilities Coordinator, and ensure compliance with safety and regulatory standards. The goal is to maintain a safe, functional, and welcoming environment for employees, clients, and visitors.

ESSENTIAL FUNCTIONS:
  1. Leadership and Supervision: Provides guidance to the Facilities Coordinator to ensure team effectiveness and productivity.
  2. Facility Maintenance Management: Manages the Building Maintenance ticketing portal, ensuring service requests related to maintenance, repairs, utilities, and janitorial services are resolved efficiently using a systematic approach to record and track requests.
  3. Vendor Relations: Works closely with vendors and contractors to ensure timely, cost-effective project completion. Sources, vets, and manages vendor relationships, ensuring quality and reliability.
  4. Financial Oversight: Reviews, validates, and approves vendor invoices and manages purchase requisitions.
  5. Urgent Issue Resolution: Takes decisive action on urgent facility issues, prioritizing safety and operational functionality.
  6. Routine Inspections and Maintenance: Conducts regular inspections of the corporate office to identify needs and execute maintenance plans to maintain optimal conditions.
  7. Space Management: Coordinates office moves, closures, renovations, and space reconfigurations as needed.
  8. Communication: Acts as the primary contact for facility-related issues, maintaining regular communication with internal stakeholders including department heads, employees, and senior management.
  9. Safety and Emergency Preparedness: Serves as a safety liaison, assisting with the implementation of emergency plans, including evacuations, response protocols, and business continuity.
  10. Additional Duties: Performs other duties as assigned.
