Job summary

Viva Wellness Drip is seeking an exceptionally organized, proactive Executive Operations & Project Manager to work directly alongside our founders and help drive the company’s next stage of growth. This role spans operations, project management, and strategy, including coordinating priorities, managing projects across departments, onboarding contractors, and preparing for major wellness initiatives.

Responsibilities

  • Manage executive calendars, scheduling, and meeting coordination.
  • Organize weekly priorities and executive action items.
  • Track deadlines and ensure follow-through on key initiatives.
  • Prepare meeting agendas and document action items.
  • Coordinate executive travel and logistics when needed.
  • Assist with executive correspondence and internal communications.
  • Keep company projects organized and moving forward across departments.
  • Coordinate timelines across multiple departments.
  • Follow up with vendors, contractors, partners, and internal team members.
  • Assist with launching new services, programs, and business initiatives.
  • Help identify operational bottlenecks and recommend solutions.

Executive Operations & Project Manager

Location: Los Angeles, CA (Hybrid)

Job Type: Independent Contractor (1099)

Hours: Approximately 10 Hours per Week to Start

Compensation: $25–35/hour (Based on Experience)

Viva Wellness Drip is a rapidly growing concierge wellness company dedicated to delivering premium healthcare experiences directly to our clients. We specialize in mobile IV therapy, wellness injections, peptide programs, aesthetic treatments, concierge nursing, corporate wellness services, luxury hospitality partnerships, and wellness activations throughout the United States.

As we continue expanding our services, partnerships, and operations, we're looking for an exceptionally organized, proactive, and resourceful Executive Operations & Project Manager to work directly alongside our founders and help drive the company's next stage of growth.

This is an exciting opportunity to become one of the first operational leaders within a fast-growing company where you'll gain exposure to nearly every aspect of the business—from operations and project management to strategic initiatives, marketing, hiring, partnerships, and company-wide growth.

Position Overview

This is not a traditional Executive Assistant position.

We're looking for someone who enjoys bringing structure to a fast-moving business, solving problems before they arise, keeping projects organized, and ensuring nothing falls through the cracks.

As our Executive Operations & Project Manager, you'll serve as the operational right hand to our founders, helping coordinate priorities, manage projects, improve communication across departments, and keep multiple business initiatives moving forward simultaneously.

Every day will look different. One day you may be coordinating a new service launch, the next you may be helping onboard new contractors, organizing company documentation, following up on strategic partnerships, or helping prepare for a major corporate wellness event.

Key Responsibilities:
Executive Operations
  • Manage executive calendars, scheduling, and meeting coordination.
  • Organize weekly priorities and executive action items.
  • Track deadlines and ensure follow-through on key initiatives.

Project Management
  • Keep company projects organized and moving forward.

  • Ensure projects are completed accurately and on schedule.
Business Operations
  • Organize company files, documents, and internal systems.
  • Maintain and update Standard Operating Procedures (SOPs).
  • Assist with contractor onboarding and administrative processes.
  • Help improve operational workflows and efficiencies.
  • Coordinate communication between departments.
  • Support day-to-day administrative and operational needs.
Cross-Functional Support

Work closely with our founders and collaborate with departments including:

  • Business Development
  • Marketing
  • Operations
  • Clinical Services
  • Dispatch & Wellness Coordinators
  • Inventory Management
  • Events & Corporate Wellness

You’ll help ensure projects remain aligned, organized, and progressing efficiently across the organization.

Qualifications:
Required
  • Minimum 3 years of experience supporting executives, founders, or leadership teams.
  • Strong project management and organizational skills.
  • Excellent written and verbal communication.
  • Exceptional attention to detail.
  • Ability to prioritize multiple projects simultaneously.
  • High level of professionalism and discretion when handling confidential information.
  • Proficiency with Google Workspace and Microsoft Office.
  • Ability to work independently with minimal supervision.
  • Must be located within commuting distance of Los Angeles, California.
Preferred
  • Experience working in a startup or high-growth company.
  • Healthcare, wellness, hospitality, or concierge service experience.
  • Experience creating or improving business systems and operational processes.
  • Familiarity with project management platforms such as Asana, ClickUp, Monday.com, Trello, or Notion.
  • Experience supporting multiple executives or departments.

Compensation & Growth

This position begins as a 1099 Independent Contractor through an initial 90-day contract-to-hire engagement.

The first 90 days are intended to ensure a strong mutual fit while providing an opportunity for both you and Viva Wellness Drip to build a successful long-term working relationship.

Following a successful engagement, there is significant opportunity for increased hours, expanded responsibilities, and transition into a long-term part-time or full-time role as the company continues to grow.
