Job description

Role & responsibilities I am looking for a highly organised, proactive and digitally savvy Executive Assistant & Personal Brand Associate to support me across my professional responsibilities and help build and scale my personal brand.

The role will sit at the intersection of executive assistance, business coordination, digital content, social media and talent management. The ideal candidate should be comfortable managing multiple workstreams, following up independently, coordinating with external stakeholders and taking ownership of projects from start to finish.

This is an opportunity for someone who wants to work closely with a physician and entrepreneur and gain exposure to healthcare, medical technology, business, personal branding and digital media.

Key Responsibilities
1. Executive & Communication Management
  • Monitor and organise my professional email correspondence on a daily basis.
  • Maintain separate systems/folders for emails and correspondence relating to my different professional and business responsibilities.
  • Identify important, urgent and actionable emails and ensure they do not get missed.
  • Maintain a list of pending responses, follow-ups, meetings and commitments.
  • Draft routine responses, follow-ups and professional correspondence where appropriate.
  • Coordinate meetings, calls and appointments with internal and external stakeholders.
  • Maintain a weekly overview of important professional commitments and deadlines.
  • Follow up proactively with people and stakeholders rather than waiting for instructions.
2. Personal Brand & Social Media Management
  • Develop and maintain a monthly social media content calendar across platforms such as:
    • Instagram
    • LinkedIn
    • YouTube
    • Other relevant platforms as the personal brand develops.
  • Convert my professional activities, travel, conferences, surgeries, speaking engagements and business interests into potential content opportunities.
  • Research relevant healthcare, orthopaedics, medical technology, fitness, entrepreneurship and business topics that could form the basis of content.
  • Maintain a structured pipeline of:
    Ideas Content to be Created Editing Approval Scheduled Published.
  • Coordinate with photographers, videographers, designers, editors and other freelancers.
  • Maintain a database/library of photographs, videos, presentations and other digital assets.
  • Track content performance and periodically report on key metrics such as reach, engagement, followers and views.
  • Identify content formats and topics that are performing well and recommend improvements.
3. Talent Scouting & Team Building

As the personal brand grows, you will be responsible for helping identify and build the right creative team.

Responsibilities will include:

  • Scout and shortlist suitable video editors, videographers, graphic designers, social media managers, content writers and other relevant talent.
  • Identify candidates through LinkedIn, Instagram, freelancer platforms, personal networks and other appropriate channels.
  • Review portfolios and previous work.
  • Conduct initial screening conversations/interviews.
  • Create and maintain a database of potential talent.
  • Coordinate trial assignments and evaluate submissions.
  • Recommend suitable candidates for hiring.
  • Manage onboarding and ongoing coordination with selected freelancers/team members.
4. Video Editor Recruitment & Management

One of the first priorities of the role will be to identify and hire at least one high-quality video editor.

The EA will be expected to:

  • Define the initial requirements for the video-editing role.
  • Scout and shortlist suitable candidates.
  • Review portfolios and references.
  • Coordinate interviews and trial projects.
  • Arrange structured trial assignments where appropriate.
  • Recommend the strongest candidate for hiring.
  • Coordinate the editor's ongoing workflow once hired.
  • Maintain a content production pipeline and ensure videos move from raw footage to final publication efficiently.
5. Project & Productivity Support
  • Maintain task trackers for ongoing projects.
  • Help break large projects into actionable tasks and deadlines.
  • Follow up with stakeholders and ensure commitments are completed.
  • Prepare weekly priority lists and status updates.
  • Assist with presentations, research, documents and other professional projects when required.
  • Coordinate travel, conferences and professional engagements when required.
  • Maintain organised digital files and folders.
Ideal Candidate

The ideal candidate would be someone who is:

  • Highly organised and exceptionally reliable.
  • Proactive rather than purely task-oriented
  • Comfortable working independently with minimal supervision.
  • Excellent at written and verbal communication.
  • Comfortable using Gmail, Google Drive, Google Calendar, Excel/Google Sheets and productivity tools.
  • Social-media savvy and understands how Instagram, LinkedIn and YouTube work.
  • Able to identify good content and has a strong visual/digital sense.
  • Comfortable researching people and companies online.
  • Capable of evaluating creative talent and portfolios.
  • Comfortable coordinating with freelancers and external agencies.
  • Detail-oriented but also capable of seeing the bigger picture.
  • Discreet and trustworthy, given access to confidential professional information.
  • Willing to learn about healthcare, medical technology, business and personal branding.
Qualifications & Experience
Preferred:
  • 14 years of experience in executive assistance, operations, social media, digital marketing, talent acquisition, consulting or a similar role.
  • Experience working with founders, doctors, entrepreneurs, executives or senior professionals would be an advantage.
  • Experience managing social media or content production is strongly preferred.
  • Familiarity with Canva, CapCut, Premiere Pro or similar tools would be useful, although advanced editing skills are not mandatory.
  • Bachelor's degree in any relevant discipline.

Strong organisational ability, ownership, communication skills and digital aptitude.

What This Role Offers
