Our client is seeking a polished, organized, and proactive Office Manager / Executive Assistant to join their New York City office. This is a highly visible role for someone who enjoys being the glue of the office while also providing administrative support to a small group of senior investment professionals.
The ideal candidate will be hands‑on, highly organized, and comfortable taking ownership of both day‑to‑day office operations and executive support in a fast‑paced financial services environment.
Key Responsibilities:
- Oversee the day‑to‑day operations and functionality of the office
- Manage office supplies, kitchen inventory, catering, deliveries, and other office needs
- Coordinate with building management, vendors, cleaners, and other service providers
- Handle facilities requests and proactively address issues as they arise
- Manage office‑related orders, maintenance, and general administrative needs
- Help ensure the office is organized, welcoming, and running smoothly
- Serve as a central point of contact for office‑related questions and requests
- Provide administrative support to a small group of senior investment professionals
- Manage calendars and coordinate internal and external meetings
- Handle expenses and ensure timely and accurate submission of expense reports
- Coordinate travel and related logistics as needed
- Assist with meeting preparation, scheduling, and other day‑to‑day administrative needs
- Support office events, meetings, lunches, and other team initiatives
- Proactively anticipate the needs of both the office and the professionals you support
- Collaborate with other administrative professionals and contribute to a positive, well‑run office environment
Requirements:
- 5+ years of Office Management and/or Executive Assistant experience - REQUIRED
- Prior experience within private equity, private credit, asset management, investment banking, or another financial services environment strongly preferred
- Experience supporting investment professionals is a plus
- Highly organized with strong attention to detail and follow‑through
- Polished, professional, calm, and collected
- Proactive and comfortable taking ownership without significant oversight
- Strong interpersonal and communication skills
- Ability to manage multiple priorities and shifting needs in a fast‑paced environment
- Comfortable serving as a highly visible resource and primary point of contact for the office
