This role is approximately 50% Executive Assistant and 50% Personal Assistant, requiring exceptional organization, discretion, and proactiveness. It is 4–5 days onsite at standard hours (9:00 AM–6:00 PM) with flexibility; compensation includes a $140,000 base salary plus a discretionary bonus.

Our client, a highly regarded financial services firm, seeking a polished, proactive Executive Personal Assistant to support a senior Executive and team.

This is a unique opportunity for an experienced administrative professional who thrives in a fast-paced, high-performing environment and is ready to take on their next challenge. While prior experience supporting a C-suite executive or Principal is preferred, we are also open to candidates coming from a strong firm or demanding team who have demonstrated exceptional organization, judgment, and the ability to operate with a high level of urgency and discretion.

Location: Midtown, NYC

Work Model: 4-5 days onsite, flexibility required

Hours: 9:00 AM–6:00 PM, with flexibility as needed

Compensation: $140,000 base + discretionary performance-based bonus

The Role

This position is approximately 50% Executive Assistant / 50% Personal Assistant to the Executive.

The ideal candidate will be highly organized, resourceful, and comfortable working in an environment where priorities can shift quickly. This person will serve as a trusted partner to the Executive, anticipating needs, managing competing priorities, and ensuring both professional and personal matters are handled seamlessly.

Key Responsibilities

Executive & Professional Support

• Manage a complex calendar, scheduling, meeting logistics, and shifting priorities
• Serve as a trusted partner to the Executive, proactively managing conflicts and schedule changes
• Coordinate domestic and international business travel, including flights, hotels, ground transportation, itineraries, and last-minute changes
• Coordinate meetings, dinners, events, reservations, and other engagements
• Prepare and manage expense reports
• Provide light professional support to additional senior members of the investment team, including calendar coordination and expenses
• Partner with the broader administrative team to ensure seamless coverage and communication

Personal Support

• Provide primarily computer-based administrative support across personal calendars, appointments, travel, dining, and day-to-day logistics
• Coordinate personal appointments and related logistics
• Anticipate needs and proactively handle time-sensitive requests
• Handle highly confidential personal and family matters with discretion
• Occasional hands-on requests may include arranging lunch or coffee, but this is not an errand-running role

Ideal Background

• 5+ years of experience supporting senior executives, Principals, or high-performing teams
• Experience in a fast-paced, demanding professional environment
• Strong calendar management and domestic/international travel coordination skills
• Exceptional organization, attention to detail, and follow-through
• Calm, resourceful, and able to exercise sound judgment under pressure
• Polished and confident communicator
• Highly discreet and comfortable handling confidential information
• Strong Microsoft Office skills and ability to quickly learn new systems
• Background in private equity, finance, family office, or another high-touch professional environment is a plus
• Comfortable with occasional after-hours needs and checking email over the weekend when time-sensitive matters arise
