Qualifications

  • Clear written and verbal communication with senior stakeholders.
  • Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to adapt, handle ambiguity, and stay composed under pressure.

Job description

We are partnered with a leading Private Wealth Management firm seeking a highly organized and proactive Senior Administrative Associate to join their New York team. This individual will be a trusted business partner to Senior Executives, Wealth Advisors, and cross-functional stakeholders. They will provide senior-level administrative, operational, and project support across the Private Wealth Management platform. The role offers high visibility, ownership of complex workstreams, and exposure to both day-to-day operations and longer-term business initiatives.

What You’ll Do

  • Partner closely with senior leaders to manage priorities, anticipate needs, and make effective use of time
  • Manage complex calendars, coordinate travel, and oversee logistics with accuracy, discretion, and diplomacy
  • Coordinate senior-level internal and external meetings, conference calls, and events, including agendas, materials, and follow-up on action items
  • Lead and support cross-functional projects, including planning, tracking deliverables, and ensuring timely execution
  • Prepare and maintain high-quality presentations, reports, and spreadsheets for management reviews and client meetings
  • Act as a liaison across departments such as Legal, Compliance, People, and Technology, as well as with external contacts and vendors
  • Handle highly confidential matters with sound judgment and strict discretion
  • Identify opportunities to improve processes, strengthen controls, and enhance operational efficiency
  • Provide guidance and informal mentorship to junior administrative staff

What We’re Looking For

  • Bachelor's Degree, or an equivalent combination of education and experience
  • 5–7 years of progressively responsible administrative, executive support, or business operations experience
  • Investment management or professional services experience preferred
  • Proven experience supporting senior-level leaders and managing high-visibility responsibilities
  • Strong judgment, critical thinking, and the ability to anticipate issues and develop practical solutions
  • Exceptional organizational skills, attention to detail, and follow-through
  • Clear written and verbal communication, and comfort working with senior stakeholders and clients
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to adapt quickly, manage ambiguity, and stay composed under pressure
  • Flexibility to work outside standard business hours when needed
