  • Advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.

We are partnering with a highly regarded global private markets firm to identify an experienced Executive Assistant to support senior leadership in its New York office.

This is an excellent opportunity for a polished, proactive Executive Assistant who is comfortable supporting multiple senior executives in a fast-paced, high-performance environment. The successful candidate will have strong judgment, exceptional organizational and communication skills, and the ability to anticipate needs, manage competing priorities, and keep senior professionals organized and prepared.

Responsibilities

Executive Support

  • Manage complex and frequently changing calendars for multiple senior executives.
  • Coordinate meetings, calls, appointments, and competing priorities across busy schedules.
  • Monitor email, calls, and incoming requests and help ensure appropriate follow-up.
  • Draft, edit, proofread, and finalize correspondence, presentations, and other business materials.
  • Track meetings, deadlines, and follow-up items to help keep executives organized and prepared.
  • Anticipate scheduling conflicts and other potential issues and address them proactively.
  • Handle sensitive and confidential information with discretion and sound judgment.
Meetings & Events
  • Coordinate complex internal and external meetings involving multiple participants and schedules.
  • Prepare agendas, meeting materials, presentations, and other supporting documentation.
  • Assist with senior leadership meetings, events, and occasional off-site programs.
  • Coordinate conference rooms, technology, hospitality, and other meeting logistics.
  • Serve as a professional point of contact for clients, investors, guests, and internal colleagues.
Travel & Logistics
  • Coordinate detailed domestic and international travel arrangements.
  • Prepare comprehensive itineraries, confirmations, agendas, directions, and supporting materials.
  • Monitor travel schedules and respond quickly to changes or unexpected issues.
  • Coordinate ground transportation, accommodations, and other travel-related logistics.
Administrative Support
  • Prepare and submit accurate expense reports in a timely manner.
  • Provide backup support to other executives and members of the administrative team when needed.
  • Assist visiting executives and guests with travel, dining, transportation, and office logistics.
  • Support the broader administrative team and contribute wherever needed in a collaborative environment.
Qualifications
  • Minimum of three years of executive or administrative support experience.
  • Experience supporting multiple senior executives simultaneously.
  • Prior experience within private equity, investment management, financial services, consulting, professional services, or another fast-paced corporate environment is strongly preferred.
  • Bachelor’s degree highly preferred.
