Qualifications

  • 1–5 years supporting senior leadership in an executive assistant role, or 5+ years at a mid-senior level.
  • Ability to handle sensitive information with discretion and sound judgment.
  • Experience managing complex calendars and competing priorities using calendar systems.
  • Strong written English and professional communication skills.

Responsibilities

  • Manage senior leader calendars, scheduling, and correspondence, protecting priorities and ensuring nothing is missed.
  • Prepare briefings, meeting materials, and decision documents for leadership engagements.
  • Coordinate cross-functional tasks and follow-ups for leadership, tracking progress and solving delays.
  • Support strategic planning by organizing information and maintaining documentation across initiatives.
  • Categorize and reconcile expenses weekly, keeping financial records current and review-ready.
  • Process and track invoices, flag discrepancies, and maintain organized financial records.
  • Produce basic financial summaries to illuminate spending and outstanding items for leadership.

Job description

Executive Assistant: Bookkeeper

Remote (Based at an approved local secure facility). We work in US time zones and ask that you’re available during those hours, even if that means adjusting your schedule.

This role exists to keep leadership operating without friction and financial records accurate without gaps. The executive assistant function is the priority, with bookkeeping as a secondary but equally precise responsibility. Work is primarily asynchronous, requiring strong independent judgment and consistent follow-through without close supervision. You will be part of an internationally distributed team that holds both operational and financial accuracy to a zero-error standard.

What You’ll Do
  • Manage senior leader calendars, scheduling, and correspondence, ensuring priorities are protected and nothing is missed
  • Prepare briefings, meeting materials, and decision documents that give leadership the context they need before every engagement
  • Coordinate cross‑functional tasks and follow‑ups on behalf of leadership, tracking progress and resolving delays independently
  • Support strategic planning processes by organizing information, tracking action items, and maintaining documentation across active initiatives
  • Categorize and reconcile expenses on a weekly basis, ensuring financial records are current, accurate, and ready for review at any time
  • Process and track invoices, flag discrepancies, and maintain an organized record of all financial transactions
  • Produce basic financial summaries and reports that give leadership a clear view of spending and outstanding items
What We’re Looking For
  • 1–5 years of experience supporting senior leadership in an executive assistant or similar role, or 5+ years at a mid‑senior level
  • Demonstrated ability to handle sensitive information with discretion and sound judgment
  • Experience managing complex calendars and competing priorities using calendar management systems
  • Proficiency in Microsoft Office 365 for documentation, communication, and reporting
  • Basic bookkeeping experience including data entry, expense tracking, and reconciliation
  • Strong written English — our company works in English
