Job summary
A forward-looking company in Chicago is seeking an Entry Level Bookkeeper to manage accounts payable and receivable. Responsibilities include promptly paying vendors to avoid late fees, creating invoices, and monitoring credit card expenses among other tasks. The ideal candidate will be detail-oriented and proficient in Quickbooks. This position is remote with 15 to 20 working hours per week, offering a unique opportunity to contribute to a dynamic team.
Responsibilities
- Promptly pay all vendors, ensuring no overpayment or late fees.
- Create invoices and ensure due dates with Bookkeeper.
- Monitor and upload credit card expenses into Quickbooks.
- Code invoices and make payments via credit cards.
- Reconcile recurring payment invoices across multiple companies.
- Assist with monthly inventory counts in Quickbooks and Smartsheet.
- Prepare refund documents with Bookkeeper.

Responsibilities:
- Accounts Payable: promptly pay all vendors, ensuring we do not overpay/double-pay invoices, incur late payment fees
- Accounts Receivable: work with off-side Bookkeeper to create all invoices and ensure the due dates are correct for the Bookkeeper to collect payments from merchants
- Monitor credit card expense reports to obtain receipts and reasons for each purchase. Upload all credit card activity into Quickbooks
- Code all invoices received according to the general ledger of accounts and enter bills into Quickbooks and make payments by credit cards
- Reconcile all of our recurring payment invoices for multiple companies
- Work with Bookkeeper for monthly inventory counts; make sure all inventory is accounted for on Smartsheet, Quickbooks, and physical inventory
- Refunds; help Bookkeeper prepare all documents through our refund policy and enter credit memos for merchants
