Job Title: Executive Assistant

Duration: 6 Months (CONTRACT)

Shift: 1st shift – Monday – Friday (8AM - 5:00PM)

Base pay range

$25.00/hr - $27.00/hr

Responsibilities
  • Prepares certified payroll packages and sends to the Regional Certified Payroll Administrator.
  • Receives completed booking packages from sales; reviews booking package for terms and conditions pertaining to certified payroll.
  • Participates in the monthly Accounts Receivable conference call with Regional Collections; actively pursues and follows up on A/R items; tracks and sends deposit checks to Regional Collections.
  • Reviews/manages headcount report monthly and processes changes via reporting for direct employees.
  • Maintains region organizational charts monthly for all internal moves & external replacements; reviews and analyzes branch compliance toward service excellence goals through audits of Sales/Customer tracking systems & tools.
  • Reviews and consolidates monthly regional Net Promoter Scores post-closing; follows up with appropriate parties to confirm customer engagement.
  • Manages monthly reporting including consolidation and reconciliation of Growth Report to verify booking and jobs cancelled; assists with submission of risk or loss cases and retrofits.
  • Supports Branch Managers with analyzing, capturing/communicating quarterly sales performance by tracking and maintaining the sales matrix.
  • Reviews Profit and Loss, budget and other financial reports to monitor performance within the region to ensure monthly goals are met or exceeded and cancellations are controlled.
  • Oversees and audits fleet reports and dispatching notes; escalates inappropriate use.
  • Facilitates regional New Installation Maintenance reviews on a monthly basis.
  • Assists with inventory and ledger updates.
  • Oversees and audits the mass escalation report annually; assists Branch with updating contractual billing rates.
Preferred Experience and skills
  • 5 years or more related experience working in executive/office management; or an equivalent combination of education and work experience.
  • Advanced skills in MS Excel, Access and PowerPoint, with the ability to build, modify and manipulate complex spreadsheets and databases.
  • Experience with a customer relationship management tool is preferred.
  • Excellent verbal and written communication skills.
  • Ability to work independently and multi-task with limited supervision.
Education Requirements
  • Bachelor’s Degree, or Associate’s Degree preferred.
  • High School and/or Technical School is required.
