Recruiting Finance, Accounting & Real Estate Leaders across the US

I am currently partnered with a highly reputable Real Estate Financial Services firm in New York. Due to continued growth, they are looking for a high-performing Executive Assistant to support the CEO.

RESPONSIBILITIES

Inbox & Communication Support

  • Monitor, triage, and manage the CEO’s email inbox, prioritizing messages and flagging time-sensitive items
  • Draft and respond to routine emails on the CEO’s behalf when appropriate
  • Organize and maintain email folders and systems for efficient access to key information
  • Coordinate follow-ups, track open threads, and ensure timely responses across key communications
  • Maintain confidentiality while managing high-volume correspondence

Calendar & Scheduling Management

  • Own and manage the CEO’s calendar with accuracy, foresight, and discretion
  • Schedule internal and external meetings across time zones, balancing priorities and shifting demands
  • Anticipate conflicts and proactively adjust meetings to protect focused work time
  • Prepare daily and weekly schedule briefings to keep the CEO aligned and on track
  • Ensure all stakeholders are informed and prepared ahead of meetings

Administrative & Operational Support

  • Provide administrative support related to scheduling, correspondence, and communication workflows
  • Assist with occasional office or team coordination tasks that intersect with the CEO’s calendar or email priorities

REQUIREMENTS

  • 2–5+ years of experience supporting senior executives, with a focus on calendar and email management
  • Proven ability to manage shifting priorities, solve problems independently, and maintain exceptional attention to detail
  • Experience working within Real Estate, Financial Services or Professional Services is highly preferred
  • Strong written and verbal communication skills; comfortable drafting professional correspondence
  • High level of discretion and integrity when handling sensitive information
  • Comfortable working in a fast-paced, high-trust environment with minimal supervision
