Job summary

CitiStaffing is seeking an organized Executive/Administrative Assistant to support high-level executives. The role involves scheduling meetings, responding to emails, preparing documents, and maintaining confidentiality.

The candidate should be willing to obtain a Notary license if not already licensed. Responsibilities include coordinating travel, managing expense reports, and acting as a liaison with internal and external stakeholders.

Qualifications

  • Bachelor’s or Associate degree preferred.
  • 1–2 years of administrative support experience preferred.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills; ability to multitask in a fast-paced environment.

Responsibilities

Job description

The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf.

The ideal candidate will either be a Notary or be willing to obtain a Notary license.

Duties and Responsibilities
  • Screen and manage phone calls, emails, and correspondence, responding on behalf of the executive as needed.
  • Arrange and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Organize travel itineraries, accommodations, and logistics for domestic and international trips.
  • Prepare, edit, and review documents, reports, and presentations, ensuring accuracy and professionalism.
  • Process and track expense reports, manage budgets, and handle financial documentation.
  • Handle sensitive information with discretion and maintain confidentiality at all times.
  • Act as a liaison between the executive and internal/external stakeholders, building and maintaining professional relationships.
Qualifications:
  • Associate or bachelor’s degree preferred
  • 1 to 2 years of Administrative support preferred
  • Proficiency with Microsoft Office Suite - Word, Excel, PowerPoint & Outlook
  • Excellent written and verbal communication skills
