They are seeking an experienced Executive Assistant to provide high-level support to senior executives in a fast-paced, sophisticated environment. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to manage competing priorities with professionalism and efficiency.
Position Summary
The Executive Assistant will serve as a trusted partner to senior leadership, providing strategic administrative support and acting as a key liaison both internally and externally. The ideal candidate has experience supporting C-suite executives within financial services, investment management, private equity, hedge funds, banking, or a similar corporate environment.
Key Responsibilities
Executive Support
- Provide comprehensive calendar management for one or more C-suite executives.
- Coordinate complex domestic and international travel arrangements, including flights, accommodations, itineraries, ground transportation, and visa requirements.
- Manage evolving priorities and schedule changes while anticipating executive needs.
- Prepare meeting materials, presentations, agendas, reports, and correspondence.
- Screen and prioritize communications, ensuring timely follow-up on action items.
Meeting & Event Coordination
- Coordinate internal and external meetings, board meetings, investor meetings, and executive events.
- Prepare meeting logistics, conference rooms, catering, and presentation materials.
- Capture meeting notes and track key deliverables when needed.
Communication & Relationship Management
- Serve as a primary point of contact for clients, investors, board members, and senior business leaders.
- Draft and proofread correspondence, presentations, and reports with a high level of accuracy.
- Maintain professionalism and confidentiality when handling sensitive information.
Project & Office Management
- Assist with special projects and strategic initiatives on behalf of executive leadership.
- Track deadlines, deliverables, and project milestones.
- Coordinate across departments to facilitate communication and execution of business objectives.
- Manage expense reports and executive reimbursements in a timely manner.
Qualifications
- Bachelor's degree preferred.
- 5+ years of Executive Assistant experience supporting senior executives or C-suite leaders.
- Prior experience within financial services, private equity, investment management, hedge fund, banking, or professional services strongly preferred.
- Exceptional calendar management and travel coordination experience.
- Demonstrated ability to manage multiple priorities in a fast-paced environment.
- Strong business acumen and professional presence.
- Excellent written and verbal communication skills.
- High level of discretion when handling confidential and sensitive information.
- Advanced proficiency with Microsoft Office Suite, including Outlook, PowerPoint, Excel, Word, and Teams.
