A leading management consulting firm in downtown Dallas, TX is seeking a versatile and driven Executive Assistant to join their dynamic team. This is an exciting opportunity to play a key role in a transformative, large‑scale engagement with a major client. The ideal candidate will be highly organized, detail‑oriented, and proactive, supporting a multi‑million‑dollar, long‑term project that requires expert coordination, clear communication, and strong collaboration across multiple organizations. This hybrid position offers the chance to work on site 3–4 days per week alongside a 20‑person project team, partnering directly with senior executives, including C‑suite leaders. It’s a fast‑paced, rewarding role where no two days are the same—and where your impact will be felt across a high‑profile initiative. This is a long‑term temporary assignment starting immediately, offering a competitive hourly rate of $30–$40/hour, depending on experience. Mack & Associates also provides comprehensive benefits, including medical coverage, PTO, and a 401(k) plan.

Key Responsibilities of the Executive Assistant:
  • Provide high‑level scheduling and coordination support for a multi‑million‑dollar, long‑term engagement with a major company.
  • Serve as a key liaison between multiple organizations to ensure seamless communication and collaboration.
  • Manage complex executive and project team calendars, balancing priorities and coordinating across time zones and stakeholder groups.
  • Proactively identify and resolve scheduling conflicts by negotiating meeting times, reallocating participants, and escalating as needed.
  • Coordinate meeting logistics, including booking rooms, confirming attendance, and maintaining accurate schedules.
  • Track team availability and time off to ensure proper coverage and identify potential scheduling gaps.
  • Partner closely with other Executive Assistants and administrative staff to promote strong communication and teamwork.
  • Represent the company professionally in all interactions with senior‑level executives, including direct contact with C‑suite leaders.
  • Communicate updates and schedule changes clearly and efficiently to project teams and leadership.
  • Maintain exceptional attention to detail and accuracy in all scheduling and coordination tasks.
  • Work on site in downtown Dallas, TX approximately 3–4 days per week in a hybrid capacity.
  • Adhere to a standard 40‑hour workweek (typically 9 AM–6 PM, with flexibility), obtaining advance approval for any overtime.
Qualifications of the Executive Assistant:
  • 5+ years of experience providing executive‑level administrative or scheduling support in a complex, fast‑paced, and matrixed environment.
  • Proven ability to manage high‑volume, multi‑stakeholder calendars with precision, discretion, and professionalism.
  • Exceptional communication and interpersonal skills, with the ability to build rapport and collaborate effectively across multiple organizations.
  • Demonstrated success in negotiating priorities and managing sensitive scheduling conflicts among senior leaders.
  • Strong organizational skills with impeccable attention to detail and follow‑through.
  • Experience coordinating meetings and communications with C‑suite executives, ideally within large corporate or client‑facing environments.
  • Ability to exercise sound judgment, maintain confidentiality, and represent the organization with professionalism.
  • Proficiency in Microsoft Outlook, Teams, and other scheduling or collaboration tools.
  • Flexibility to adjust working hours when necessary and willingness to obtain prior approval for overtime.
