Qualifications

  • Strong Executive Administrative Assistance and Administrative Assistance skills, including calendar management, meeting coordination, and document organization.
  • Executive Support experience with handling confidential information and supporting senior leadership.
  • Excellent communication skills, including professional email etiquette and client interactions.
  • Proficiency with office productivity tools (e.g., Microsoft Office), attention to detail, and organization.
  • On-site full-time work in Cincinnati, OH; ability to handle changing priorities in a fast-paced environment.
  • Prior experience in financial services or professional services is beneficial; related degree preferred but not required.

Responsibilities

  • Manage the CEO’s calendar, scheduling meetings and ensuring preparedness.
  • Handle daily administrative tasks including document creation, editing, and correspondence with minimal supervision.
  • Arrange travel plans and itineraries and prepare correspondence as directed.
  • Screen incoming calls to the CEO’s office and greet visitors professionally.
  • Organize the flow of work through the CEO’s office and maintain documentation with high accuracy.
  • Serve as a liaison to internal and external contacts, handling inquiries and prioritizing tasks.
  • Provide general administrative support to other staff and undertake additional responsibilities as directed by the CEO.

Role Description

The Executive Assistant role is a full-time, on-site position based in Cincinnati, OH, supporting our Founder & CEO in a dynamic financial services environment. Day-to-day responsibilities include managing calendars, scheduling meetings, coordinating travel arrangements, and facilitating document preparation with a high level of accuracy. The Executive Assistant will help streamline administrative processes, support special projects, and contribute to a professional, client-focused office environment. The ideal candidate should excel in a dynamic environment and demonstrate versatility in their work.

Key Responsibilities
  • Manage the CEO’s calendar, scheduling meetings, and ensuring the CEO is well-prepared for all engagements.
  • Handle daily administrative tasks including document creation, editing, and correspondence with minimal supervision.
  • Arrange travel plans and itineraries, and independently prepare correspondence as directed.

  • Ability to work on-site full time in Cincinnati, OH, manage multiple tasks, and adapt to changing priorities in a fast-paced environment.
  • Prior experience in financial services or a professional services setting is beneficial; an associate or bachelor’s degree in business, communications, or a related field is preferred but not required.
Position Demands

May require extended hours during peak workloads or for special projects.

Salary

From $50,000 to $80,000 per year based on experience. Performance-based bonuses available.
