Job summary

C³ Wealth Management is seeking a detail‑oriented Administrative Assistant to support day‑to‑day office operations in King of Prussia, PA. You will handle calendar management, scheduling, document organization, and front‑office tasks for executives and clients.

Ideal candidates have strong MS Office skills, customer service experience, and excellent communication abilities. This is a full‑time, on‑site role offering comprehensive benefits and a supportive financial services team.

Qualifications

  • Bachelor's Degree preferred but not required.
  • Financial and/or insurance industry preferred but not required.
  • Highly proficient in MS Office Suite (Outlook, Word, Excel).
  • Customer service experience strongly preferred.
  • Ability to handle detailed work with high degree of accuracy.

Responsibilities

  • Schedule meetings for existing and new clients via phone and/or email, using best practices (language, follow up process, CRM tracking).
  • Calendar Management: coordinate complex schedules and resolve conflicts proactively.
  • Real-Time Client Solutions: act as a problem-solver for client requests, adjusting resources as needed.
  • High-Adaptability & Agility: pivot seamlessly when changes occur.
  • Front-Office Presentation: maintain a pristine reception environment for high-net-worth visitors.
  • Visitor Hospitality: greet clients, manage coat check, provide refreshments before meetings.
  • Communication Routing: direct multi-line calls, capture messages and prioritize urgent requests.
  • Office Logistical Control: oversee mail distribution, inbound/outbound packages, courier coordination.
  • Document Digitization & Auditing: scan and digitize paperwork, ensure pages are complete.
  • Online Portal Registration: guide clients through initial registration for portal/e-delivery.

Role Description

The Administrative Assistant is a full-time, on‑site role based in King of Prussia, PA. This position supports day‑to‑day office operations, including managing calendars, scheduling meetings, organizing documents, and maintaining orderly records. Responsibilities include answering and directing phone calls, greeting visitors, preparing correspondence, and assisting with client meeting materials. The Administrative Assistant will coordinate with team members to support executives, handle clerical tasks such as filing and data entry, and ensure smooth front‑office operations. The role also involves maintaining confidentiality, providing professional and timely communication, and contributing to a welcoming environment for clients and colleagues.

  • Front-Office Presentation: Maintain a pristine, professional reception environment to ensure a premium first impression for high-net-worth visitors.
  • Visitor Hospitality: Greet arriving clients warmly, manage coat check, and provide refreshments before meetings.
  • Communication Routing: Direct multi‑line inbound phone traffic, capturing accurate messages and prioritizing urgent client requests.
  • Office Logistical Control: Oversee mail distribution, handle incoming overnight packages, and coordinate outbound courier services.
  • Document Digitization & Auditing: Scan and digitize all incoming physical paperwork, checking for clarity and ensuring no critical pages are missing.
  • Online Portal Registration: Guide clients step‑by‑step through the initial registration process for their online portal, e‑delivery, etc.
  • Digital Access Troubleshooting: Help clients resolve basic portal issues, reset passwords, and navigate their online dashboards.
