Location: Culver City (West LA)
Schedule: Hybrid Onsite (3 days onsite and 2 days remote) | Monday-Friday, 8:30 am - 5:00 pm

Salary: $25/hr - $32/hr
Job Description
This position will have a chance to design and implement best practices and processes to set the standard for executive support. Be a trusted advisor and leverage tools and practices to make the executives day-to-day operations more efficient.
Highlights
- Manage complex calendars for multiple executives, anticipate conflicts, and ensure alignment with priorities.
- Coordinate meetings, agendas, and follow-ups; capture and distribute accurate meeting notes and action items.
- Act as a trusted liaison and gatekeeper, handling confidential and high-priority matters with discretion.
- Draft, edit, and proof important correspondence; build polished PowerPoint decks; and create Excel-based reports, charts, and dashboards.
- Plan and manage domestic and occasional international travel, including itineraries, logistics, and cost optimization.
- Develop and implement SOPs for executive support functions, ensuring efficiency and consistency.
- Support special projects and initiatives that advance organizational goals and executives' priorities.
- Use AI tools (e.g., Microsoft Copilot for M365, ChatGPT/LLM workflows) to draft agendas, summarize meetings, triage inboxes, prepare travel itineraries, generate surveys/forms, and produce reports-with human oversight for accuracy, compliance, and data privacy.
Qualifications
- Bachelors degree highly preferred
- 5+ years as an Executive Assistant supporting senior executives.
- Demonstrated AI literacy in business workflows (e.g., drafting, summarizing, prioritization, travel planning, surveys/forms, reporting) with strong judgment, privacy awareness, and quality control.
- Advanced Excel (formulas, data cleaning, pivot tables/charts) and PowerPoint (storyline, visuals, charts).
- Mastery of calendar orchestration; you can simplify complexity and protect executive focus.
- Exceptional written and verbal communication; ability to write in leadership voices and communicate concisely under time pressure.
- Proficiency in M365 (Outlook, Teams, OneNote); familiarity with UKG (Kronos), iCIMS, and Salesforce is a plus.
- Bilingual in Spanish preferred
