Job description

We are looking for an Executive Assistant to serve as a trusted partner to The Company's C-Suite leadership. This highly visible role goes beyond traditional administrative support—you will act as a strategic right hand to senior executives and lead/partner with the Office Manager to ensure seamless operations across the organization. The ideal candidate is proactive, anticipates needs before they arise, thrives in a fast-paced environment, and brings strong judgment, discretion, and executive presence to every interaction.

What you'll do:
Executive Support & Strategic Partnership
  • Serve as the primary point of contact for C-Suite executives, managing complex calendars, travel logistics, and communications with a high degree of autonomy and professionalism
  • Anticipate executive needs and proactively resolve issues before they escalates, enabling leadership to operate at peak effectiveness
  • Prepare and coordinate executive-level materials including agendas, briefings, presentations, and correspondence
  • Exercise sound judgment and discretion when handling confidential, sensitive, or time-critical information
  • Build and maintain trusted relationships with internal stakeholders, board members, and external partners on behalf of executives
  • Partner closely with the Office Manager to ensure alignment on office operations, events, and administrative workflows
  • Serve as an escalation point for administrative issues and ensure high-quality, consistent output across the support team
  • Model a proactive, solutions-oriented mindset and set the standard for execution excellence
Operational Excellence
  • Coordinate high-priority cross-functional projects, special initiatives, and executive offsites from planning through execution
  • Manage and track key commitments, deadlines, and follow-ups on behalf of the executive team
  • Continuously identify opportunities to improve administrative workflows, tools, and processes for greater efficiency and impact
  • Leverage AI tools and modern productivity platforms to streamline communications, scheduling, and task management
What you'll bring:
  • 5+ years of executive assistant experience supporting C-Suite or senior leadership, ideally in a technology or SaaS environment
  • Demonstrated experience leading or mentoring other administrative professionals
  • Exceptional organizational skills with the ability to manage multiple competing priorities without losing attention to detail
  • Strong written and verbal communication skills with executive-level polish
  • High degree of discretion and integrity when handling confidential information
  • Proactive, self-directed problem-solver who anticipates needs rather than waiting to be asked
  • Comfortable operating with ambiguity and adapting quickly in a dynamic, high-growth environment
  • Proficient with Microsoft Office Suite, and modern productivity and AI tools
  • Experience with project coordination, event planning, or cross-functional operations is a plus
Why This Role:
  • Operate at the center of The Company's executive leadership team, with direct visibility into company strategy and decision-making
  • Build and lead a high-performing administrative team, shaping how support functions operate at scale
  • Work in an AI-forward environment with access to modern tools that amplify your efficiency and impact
  • Play a meaningful role in a mission-driven company helping communities and organizations thrive
