The ideal candidate will serve as an executive assistant to a senior partner and oversee the day-to-day operations of a high-profile executive office. This individual will have ownership of a complex, frequently changing calendar, manage the flow of information and requests, and ensure the executive is fully prepared for meetings and commitments. The Senior Executive Assistant will also lead a small administrative team and provide additional scheduling and operational support to senior leadership. The role requires exceptional judgment, discretion, organization, and the ability to remain calm and decisive in a fast-paced environment.
Responsibilities
- Own and manage a complex executive calendar, including internal and external meetings, scheduling changes, conflicts, and competing priorities
- Serve as a gatekeeper and primary point of contact for scheduling requests and communications
- Proactively evaluate calendar priorities and make recommendations or adjustments as needed
- Prepare daily agendas, meeting reminders, briefing materials, and pre-read packages
- Ensure the executive has all necessary materials and information ahead of important meetings
- Track meeting requests, follow-ups, action items, and outstanding deliverables
- Manage the executive's inbox, including triaging emails, flagging priorities, and drafting responses
- Draft confidential correspondence and communications on behalf of the executive
- Coordinate complex domestic and international travel, itineraries, agendas, and logistics
- Prepare expense reports and manage related approvals
- Support additional senior leadership with calendar management and scheduling
- Handle ad-hoc projects and assignments from inception through completion, often under tight deadlines
- Partner closely with senior leadership and internal teams to ensure priorities and critical issues are communicated effectively
- Build and maintain strong relationships with internal stakeholders and external contacts
- Lead, train, mentor, and supervise administrative staff
- Establish administrative procedures, coverage plans, and best practices to ensure continuity of the executive office
- Maintain a high level of confidentiality and discretion when handling sensitive information
Qualifications
- Bachelor's degree required
- 10+ years of administrative experience, including significant experience supporting a CEO, President, or other senior executive
- Previous experience managing or leading administrative staff
- Proven experience managing a complex, high-volume calendar with frequently changing priorities
- Strong written and verbal communication skills with the ability to draft polished correspondence on behalf of senior leadership
- Advanced proficiency in Microsoft Office, Outlook, Teams, Zoom, and other virtual meeting platforms
- Experience with Workday preferred
- Exceptional organizational skills and attention to detail
- Ability to prioritize effectively, exercise sound judgment, and make timely decisions
- Calm and composed under pressure with strong follow-through
- Demonstrated discretion when handling confidential and sensitive information
- Flexible and responsive to a demanding executive schedule, including occasional early mornings, evenings, and travel-related support
- Strong interpersonal skills and the ability to work effectively with senior executives, internal stakeholders, and external partners
