Job summary

University of Maryland Baltimore County is seeking a temporary Contingent II Executive Administrative Assistant I to provide executive-level support to the Assistant Vice President for Residential Life and Commuter Affairs. The role involves complex calendar management, travel coordination, and preparation of communications, reports, and materials.

The position requires a high school diploma or GED with four years of administrative support experience, plus strong Microsoft Office and Google

Responsibilities

  • Provide executive-level administrative support to the Assistant Vice President for Residential Life and Commuter Affairs, including managing a complex calendar, scheduling meetings, and coordinating travel.
  • Prepare, edit, and proofread correspondence, reports, presentations, meeting materials, and other executive communications.
  • Coordinate departmental meetings, trainings, retreats, special events, and Residential Learning Program initiatives, including Faculty Mentor and Living Learning Community activities.
  • Serve as a primary point of contact for students, faculty, staff, families, and campus partners by responding to inquiries and directing requests appropriately.
  • Maintain confidential records, shared calendars, filing systems, and administrative documentation while exercising sound judgment and discretion.
  • Assist with purchasing, travel reimbursements, meeting logistics, office operations, and other administrative processes to support departmental effectiveness.
  • Research, compile, and summarize information for reports, presentations, and special projects.
  • Perform other administrative duties and special projects as assigned.

Position Overview:

The Division of Student Affairs is seeking a temporary Contingent II Executive Administrative Assistant I to provide executive-level administrative support to the Assistant Vice President for Residential Life and Commuter Affairs. This position serves as a key member of the administrative team and supports daily operations through calendar management, meeting coordination, communications, travel, purchasing, and special projects.

Required Minimum Qualifications:
  • High school diploma or GED and four (4) years of administrative support experience.

Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis, with 30 college credits being equivalent to one year of experience.

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, Webex, Box, and other office productivity software.
  • Excellent written communication skills, including the ability to draft, edit, proofread, and format professional correspondence, reports, and presentations.
  • Exceptional organizational and time-management skills with the ability to prioritize multiple assignments, manage competing deadlines, and work independently with minimal supervision.
  • Strong interpersonal and customer service skills with the ability to effectively interact with senior leaders, faculty, staff, students, families, and external stakeholders.
  • Excellent verbal communication skills with the ability to communicate clearly and professionally with diverse audiences.
Preferred Qualifications:
  • Experience working in a higher education environment.
  • Experience providing executive-level administrative support to senior leaders or executives.
  • Experience supporting projects, and events.

Pay Range 10 (minimum: $26.85 per hour / maximum: $30.57 per hour) based on the University System of Maryland (USM) Pay Program.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, Memorandum of Understanding, USM Board of Regent policies, internal equity, budget and qualifications and experience. Most salary offers will be close to the minimum part of the range.

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
