Job summary

Freezpak Logistics in Suffolk, VA is seeking an Administrator to provide high-level administrative support to the General Manager and ensure the smooth day-to-day operation of the warehouse office. This full-time role requires excellent organizational skills, discretion, and professional communication with internal and external stakeholders.

You will manage schedules, coordinate meetings, assist with purchasing and collections, and maintain meticulous records.

Qualifications

• Previous experience as an Administrator, Executive Assistant, Administrative Coordinator, or in a similar administrative support role.
• Experience within logistics, warehousing, transportation, supply chain, or a related industry is preferred.

Responsibilities

• Serve as the primary point of contact for the General Manager by managing incoming calls, emails, and correspondence in a timely and professional manner.
• Coordinate internal and external meetings by scheduling attendees, preparing agendas, recording meeting minutes, and distributing follow-up action items.
• Handle confidential business and personnel information with the highest level of professionalism and discretion.
• Assist with preparing, processing, and tracking purchase orders.
• Monitor office supply inventory and coordinate purchasing to maintain adequate stock levels.
• Support the finance team by assisting with collections activities, including following up on outstanding invoices and communicating with customers regarding payment status.
• Maintain organized records, files, and documentation to support daily operations.
• Assist with special projects and administrative initiatives as assigned by leadership.
