Qualifications

• Experience as an Administrator, Executive Assistant, Administrative Coordinator, or similar role.
• Logistics, warehousing, transportation, or supply chain experience preferred.
• Proficient with Microsoft Office; familiarity with PO systems/ERP or project tools is a plus.

Responsibilities

• Serve as the primary point of contact for the General Manager by handling calls, emails, and correspondence professionally.
• Coordinate internal and external meetings: schedule attendees, prepare agendas, record minutes, and track follow-ups.
• Handle confidential information with discretion and professionalism at all times.
• Assist with preparing, processing, and tracking purchase orders.
• Monitor office supplies and coordinate purchasing to maintain stock levels.
• Support the finance team with collections activities, including following up on invoices.
• Maintain organized records and documentation for daily operations.
• Assist with special projects and administrative initiatives as assigned by leadership.

About the Role

As an Administrator at Freezpak Logistics, you will provide high-level administrative support to the General Manager while helping ensure the efficient day-to-day operation of the warehouse office. This role requires exceptional organizational skills, professionalism, and discretion while managing schedules, coordinating communications, organizing meetings, supporting purchasing activities, and assisting with collections. You will serve as a trusted partner to leadership and a key resource for internal and external stakeholders.

What You'll Do

• Serve as the primary point of contact for the General Manager by managing incoming calls, emails, and correspondence in a timely and professional manner.
• Coordinate internal and external meetings by scheduling attendees, preparing agendas, recording meeting minutes, and distributing follow-up action items.
• Handle confidential business and personnel information with the highest level of professionalism and discretion.
• Assist with preparing, processing, and tracking purchase orders.
• Monitor office supply inventory and coordinate purchasing to maintain adequate stock levels.
• Support the finance team by assisting with collections activities, including following up on outstanding invoices and communicating with customers regarding payment status.
• Maintain organized records, files, and documentation to support daily operations.
• Assist with special projects and administrative initiatives as assigned by leadership.

What You Bring to the Pak

Experience

• Previous experience as an Administrator, Executive Assistant, Administrative Coordinator, or in a similar administrative support role.
• Experience within logistics, warehousing, transportation, supply chain, or a related industry is preferred.

Technical Proficiency

Salary Range: $45,000 – $55,000 annually
