Job Details

Job Location: Oklahoma - OKLAHOMA CITY, OK 73102

Position Type: Full Time

JOB TITLE: Facilities Estimator

LOCATION: Oklahoma City, OK

REPORTS TO: VP of Project Development

COMPANY: Mach Energy Services LLC

ABOUT US

Mach Energy Services LLC is a full-service energy construction company with operations spanning pipeline, facilities, and municipal utility construction across Texas, Oklahoma, and Arkansas. Our Facilities Division builds and expands the structures and systems that keep energy moving - compressor and pump stations, tank batteries, metering and measurement facilities, central delivery points, and plant and site infrastructure - with concrete, structural steel, mechanical piping, and electrical scopes largely self-performed. We pursue quality over volume and are building a facilities team that grows with the company. We are committed to safety, operational excellence, and developing people over the long term.

POSITION SUMMARY

The Facilities Estimator is responsible for preparing accurate, competitive estimates for Mach's Facilities Division. This role is well suited to an estimator from the commercial construction sector - ground-up commercial, industrial, institutional, or design-build building work - who is ready to apply that discipline to energy facility construction. If you have built hard-bid and negotiated estimates from plans and specs, run quantity takeoffs on concrete, structural steel, and mechanical scopes, and managed a subcontractor bid list under deadline, the transferable skills are the ones that matter most here; Mach will invest in the industry-specific knowledge. The Facilities Estimator works directly with the VP of Facilities Construction on every pursuit, manages the full estimate lifecycle from opportunity review through post-bid analysis, and is accountable for the accuracy and competitiveness of every number the division submits.

KEY RESPONSIBILITIES
  • Prepare complete, competitive estimates for facility construction projects - compressor and pump stations, tank batteries, metering and measurement facilities, central delivery points, and plant and site infrastructure
  • Execute the full estimate lifecycle - plan and specification review, site visit, quantity takeoff of concrete, structural steel, mechanical piping, equipment setting, and electrical scopes, vendor and subcontractor pricing, estimate assembly, and markup for VP review
  • Support the pursuit evaluation process in coordination with the VP; flag scope fit, capacity, schedule, and risk considerations on each opportunity
  • Obtain, level, and document subcontractor and supplier quotes; identify scope gaps and overlaps across trades and enforce price hold expectations per company policy
  • Attend pre-bid meetings and conduct or coordinate project site visits prior to every bid submission
  • Conduct post-bid and post-award reviews on won and lost pursuits; lead lessons learned documentation and apply findings to future estimates
  • Maintain the bid history database and historical cost data to improve estimating accuracy and institutional knowledge over time
  • Mentor pre-construction coordinators and interns on takeoff and bid assembly as the division grows
  • Maintain estimating standards, unit cost libraries, crew production rates, and bid templates to improve consistency across projects
  • Develop relationships with owners, engineering firms, equipment vendors, and subcontractors across the Oklahoma, North Texas, and Arkansas markets
  • Coordinate with project managers and field leadership to ensure estimates translate into executable project budgets and realistic construction schedules
ADDITIONAL DUTIES AND EXPECTATIONS
  • Assist in subcontractor qualification and development; build and maintain a reliable subcontractor network across target markets
  • Support bonding and surety documentation with backlog reports, bid schedules, and project history as needed
  • Stay current on material and equipment pricing, subcontractor market conditions, labor availability, and prevailing wage rates across TX, OK, and AR
  • Represent Mach professionally in all interactions with owners, engineers, vendors, and subcontractors
  • Support business development efforts by identifying, tracking, and pursuing new facility construction opportunities
  • Use a computer, phone, and standard office equipment
  • Extended hours as required to meet bid deadlines
  • Travel is required for pre-bid meetings and site visits across TX, OK, and AR
QUALIFICATIONS
  • 3+ years of estimating experience in commercial, industrial, institutional, or heavy civil construction - candidates from the commercial building sector are strongly encouraged to apply
  • Experience estimating projects ranging from small capital work through $10 million-plus contract values
  • Demonstrated takeoff and pricing experience across structural concrete, structural steel, mechanical piping, equipment setting, and site work; experience with process or facility mechanical scopes is a plus
  • Strong understanding of bid documents, plan and specification reading, addenda tracking, and scope interpretation on both hard-bid and design-build delivery
  • Experience leveling subcontractor bids and identifying scope gaps across multiple trades
  • Proficiency in estimating software (HCSS HeavyBid, B2W, Sage Estimating, Procore Estimating, or equivalent) and takeoff tools such as On-Screen Takeoff or Bluebeam; strong working knowledge of Microsoft Excel
  • Proven ability to build and manage subcontractor and vendor relationships and enforce price commitments through contract award
  • Strong written and verbal communication skills; ability to walk through estimate assumptions and bid strategy clearly with the VP and project teams
  • Highly organized and self-directed; capable of managing multiple simultaneous bids under deadline pressure
  • Valid driver's license with a clean driving record required
  • Must be able to pass a pre-employment drug screen and background check
  • Bachelor's degree in Construction Management, Civil or Mechanical Engineering, or related field preferred; equivalent field and estimating experience considered
  • Oklahoma City, OK base required
WORKING CONDITIONS
  • Primary work location is the Oklahoma City, OK office; field visits and site walks are a regular part of the role
  • Extended hours as required, particularly around bid deadlines; this role operates on the schedule that bids demand
  • Regular participation in pre-bid meetings, owner and engineer conferences, and internal estimate review meetings with VP leadership
  • Travel required across Texas, Oklahoma, and Arkansas for pre-bid meetings, site visits, and project walks; overnight travel as needed
  • Frequently required to walk, stand, and move through active construction sites and operating facilities during site visits; appropriate PPE required on all job sites
