  • Ability to work independently while collaborating in a cross-functional team.
  • Flexibility to adjust priorities based on Admissions and Enrollment Management needs.
  • Experience with higher education systems, CRM or student information systems, financial processing, event support, campus visits, or international student documentation is preferred.

Responsibilities

  • Provide administrative support to the Director of Admissions and Enrollment Management staff, including scheduling meetings and coordinating logistics.
  • Process invoices, credit card transactions, expense documentation, and other financial records for Admissions and Enrollment Management.
  • Assist with purchasing (Amazon orders and other departmental purchases) and maintain records.
  • Provide backup support for Campus Visit Coordinator and assist with visit preparation and day-of operations.
  • Greet and assist prospective students, families, and visitors at front desk.
  • Process admissions documents, review transcripts, scores, letters of recommendation, and materials.
  • Process I-20 documentation for international enrollment processes.
  • Coordinate inventory, supplies, recruitment materials, and storage areas.
  • Assist with event preparation and day-of logistics.
  • Support Financial Aid and Marketing with departmental needs and social media advertising.
  • Maintain confidential records and information.
  • Support special projects and peak enrollment priorities, including occasional evenings or weekends.

Job Description

The Enrollment Administrative Assistant provides administrative, operational, and customer-service support within the Division of Enrollment Management, with primary responsibility for supporting the Office of Admissions. The position works collaboratively with Admissions, Financial Aid, Marketing, and other enrollment partners to coordinate administrative processes, financial transactions, scheduling, campus visit operations, purchasing, events, and other activities that support student recruitment and enrollment.

The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple priorities while providing excellent service to students, families, visitors, and University colleagues.

REQUIREMENTS/MINIMUM QUALIFICATIONS
  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • One to three years of administrative, office, customer service, higher education, or related professional experience.
  • Strong organizational skills and demonstrated ability to manage multiple priorities, deadlines, and competing demands.
  • Exceptional attention to detail and accuracy, particularly when handling financial transactions, records, and documentation.
  • Excellent written and verbal communication skills and a demonstrated commitment to providing high-quality customer service.
  • Proficiency with Microsoft Office or Google Workspace and the ability to learn new software, databases, and University systems.
  • Ability to handle confidential student, financial, and University information with discretion and sound judgment.
  • Ability to work independently while contributing effectively to a collaborative, cross-functional team.
  • Flexibility and willingness to adjust priorities based on the needs of Admissions and Enrollment Management.
  • Experience with higher education systems, CRM or student information systems, financial processing, event support, campus visits, or international student documentation is preferred.
  • Experience with systems such as Slate, Banner, Cognos, or similar platforms preferred.
ESSENTIAL FUNCTIONS
  • Provide administrative support to the Director of Admissions and Enrollment Management staff, including scheduling meetings, trainings, and appointments and coordinating related logistics.
  • Process invoices, credit card transactions, expense documentation, and other financial records for Admissions and Enrollment Management, including advertising expenses.
  • Assist with purchasing, including Amazon orders and other approved departmental purchases, and maintain accurate records and documentation.
  • Provide backup support for the Campus Visit Coordinator and assist with campus visit preparation, scheduling, and day-of operations as needed.
  • Provide front-desk coverage when student mentors are unavailable due to tours, training, illness, or other circumstances; greet and assist prospective students, families, and visitors.
  • Assist with the intake, review, and processing of various admissions documents, including but not limited to transcripts, test scores, letters of recommendation, and application materials. Review and analyze high school transcripts from across the country.
  • Process I-20 documentation and provide administrative support for international enrollment processes in accordance with University policies and applicable regulations.
  • Coordinate resource requests and maintain Admissions/Enrollment Management inventory, supplies, recruitment materials, and storage areas.
  • Assist with event preparation, including assembling materials, preparing spaces, organizing supplies, and supporting day-of logistics.
  • Provide administrative and operational support to Financial Aid and Marketing, including assistance with social media advertising expenses and other departmental needs.
  • Maintain accurate, organized, and confidential records and information.
  • Support special projects and other Enrollment Management priorities as assigned, including occasional evening or weekend responsibilities during peak recruitment and enrollment periods.
