Job summary

Amex GBT is seeking an experienced events professional to lead corporate programs from kickoff to reconciliation. You will manage budgets up to $500k, coordinateHotels, venues, transportation, F&B, and AV, and serve as onsite lead for multiple programs annually.

You will maintain planning files, communicate clearly with stakeholders, and ensure timely closes with full debriefs and recommendations.

Qualifications

• Four or more years planning corporate meetings and events.
• Experience as onsite lead on ten or more programs a year.
• Independent management of program budgets up to $500,000, with accurate forecasts and reconciliations.
• Working knowledge of hotel and supplier contracts, banquet orders, and costs incl. attrition/minimums/overtime.
• Strong command of enterprise project and collaboration tools, and comfort in client owned environments.
• Experience supporting a producer or client event owner and speaking up when cost/time is at risk.
• Onsite composure: brief teams, handle late changes, keep schedule on track.
• Clear written communication for status updates and attendee details.
• Ability to run several programs at once and seek help before deadlines.
• CMP or progress toward CMP; hotel or DMC background is a plus.

Responsibilities

• Plan and deliver assigned programs end to end with the producer.
• Keep the program plan current in client tools with tasks, owners, and dates.
• Build and manage budgets from first estimate through reconciliation.
• Manage hotels, venues, transportation, F&B, and AV from contract to final invoices.
• Coordinate attendee experience and communications, with deadlines.
• Lead onsite for programs, including staffing, run-of-show, and supplier coordination.
• Carry several programs at different stages, including 10+ onsite yearly.
• Close programs on time with invoices, reconciliations, and debriefs.
• Maintain planning files and supplier records for easy handover.
• Raise scope, budget, and timing risks early with recommendations.
