Job summary

Amex GBT is seeking a seasoned events professional based in the United States to plan and deliver corporate programs end to end. The role includes onsite leadership, budget management up to $500,000, and overseeing multiple programs annually with a focus on timelines, supplier coordination, and attendee experience.

Qualifications

• Four or more years planning corporate meetings and events.
• Experience as onsite lead on ten or more programs a year.
• Independent management of program budgets up to $500,000, with accurate forecasts and clean reconciliations.
• Knowledge of hotel and supplier contracts, banquet orders, and cost drivers like attrition and minimums.
• Strong command of Cvent and enterprise project/tools.
• Experience coordinating with a producer or client event owner.
• Onsite composure and ability to brief a team.
• Clear written communication and attendee details accuracy.
• Ability to run multiple programs and forecast risks early.

Responsibilities

• Plan and deliver assigned programs end to end from kickoff through onsite execution and close.
• Keep program plans current in client tools with tasks, owners, and dates.
• Manage suppliers from contract terms to final invoices within rules.
• Coordinate attendee housing, registration, and communications with Attendee Experience Coordinators.
• Lead onsite for programs, including staffing, run of show, and supplier management.
• Handle multiple programs at different stages, ensuring none slip.
• Close programs on time with budget reconciliation and debriefs.
• Maintain planning files and decision notes for seamless handoffs.
• Raise scope, budget, and timing risks with recommendations.
