3D Group is seeking a driven Commercial Construction Project Coordinator to join our Holmdel, NJ team. You will support project management from preconstruction through post-construction, ensuring tasks are completed on time and to spec while coordinating with office staff, field teams, and subcontractors.

The ideal candidate has 2+ years in commercial construction coordination, familiarity with blueprints and project software, and strong organizational and communication skills.

Qualifications

• 2+ years of experience in commercial construction project coordination or a related role.
• Familiarity with construction documents, blueprints, and project management software
• Strong organizational and multitasking skills with exceptional attention to detail
• Excellent written and verbal communication skills for client and subcontractor coordination
• Proficiency in Microsoft Office Suite; experience with Procore or similar platforms a plus
• Ability to work both in-office and on job sites as needed
• Associate's or Bachelor's degree in Construction Management, Engineering, or related field preferred

Responsibilities

• Provide Administrative Support to Office Staff, Project Managers and Field Superintendents
• Assist with project administration deliverables including RFIs, Submittals, Closeout Documents within Project Management Software, Red Team
• Assist with all safety documentation and promote safe culture.
• Create and maintain project files, both electronically and hard copies
• Prepare and distribute project memoranda.
• Assist subcontractors with gaining appropriate security access to job sites; maintain discretion in the handling and submission of confidential information.
• Correspond with Subcontractors regarding required paperwork.
• Assist with answering telephones.
• Review client contracts for billing requirements; allowable markups, fee structure, retainage, waivers, tax requirements, shared savings, etc.
• Manage subcontractor progress billings and documents for compliance and timely submittal.
• Review and post subcontractor monthly progress billings
• Manage subcontractor payments.
• Maintain billing contract format (G702, G703 format)
• Prepare system generated client requisitions and provide necessary backup.
• Monitor accounts receivable and support with collection efforts.
• Assist in the preparation of detailed conceptual budgets and estimating from pre-construction, concept design, schematic design and design development documents.
• Assist in take-offs of all trades. Assist with the entire bid process (construction management and general contractor) inclusive of preparation of detailed bid package.
• Ensure accurate and proper submissions & proposals by all subcontractors.
• Build and maintain vendor relationships.
• Level subcontractor bid proposals for accuracy and scope gaps
• Prepare scope of work documentation by division
• Attend on-site walk-throughs as needed.
