Job summary

GMA Construction Group in Chicago, IL seeks a highly organized Construction Project Coordinator to support project teams on commercial construction projects. You will work with Project Managers, Engineers, estimators, subcontractors, vendors, and field teams to keep documentation, schedules, and administrative tasks accurate and timely.

This role requires proactive, detail-oriented candidates comfortable managing multiple priorities in a fast-paced environment.

Qualifications

  • Bachelor's degree preferred; equivalent construction experience considered.
  • 1–3 years of experience in commercial construction, project coordination, or related field.
  • Procore experience with RFIs, submittals, drawings, documents, commitments, and project communications.
  • Commercial general contracting experience.
  • Microsoft Project scheduling experience.

Responsibilities

  • Provide day-to-day administrative and project coordination support to Project Managers and project teams.
  • Maintain accurate and organized project files, records, correspondence, and documentation within Procore.
  • Assist with the preparation, distribution, and tracking of RFIs, submittals, meeting minutes, change orders, and other project documentation.
  • Utilize Procore to manage project communications, documentation, submittals, RFIs, drawings, commitments, and other project controls.
  • Assist with developing, updating, and maintaining project schedules using Microsoft Project.
  • Track project milestones, deliverables, schedules, and outstanding action items and communicate updates to the project team.
  • Coordinate project meetings, prepare agendas, document meeting minutes, and track action items through completion.
  • Assist with subcontractor and vendor communications, including requests for information, documentation, schedules, and compliance requirements.
  • Support subcontractor procurement, buyout, onboarding, and contract administration activities.
  • Assist with processing and tracking subcontracts, purchase orders, insurance certificates, lien waivers, and other required documentation.
  • Assist with monthly project billing and pay application activities, including collection and organization of supporting documentation.
  • Maintain project logs, trackers, and reports to ensure information is current and accurate.
  • Coordinate with accounting and operations teams regarding project-related invoices, commitments, and documentation.
  • Assist Project Managers with preparation of project reports, presentations, schedules, and other management documentation.
  • Monitor project documentation for completeness and compliance with company policies, contract requirements, and client expectations.
  • Assist with project closeout activities, including punch lists, warranties, O&M manuals, as-builts, and final documentation.
  • Attend project and jobsite meetings as needed.
  • Perform other duties and responsibilities as assigned.
