Job summary

Capstone Logistics, LLC is seeking a DOT Compliance Manager to oversee regulatory adherence, driver qualification, and record-keeping across the fleet. You will lead audits, coordinate drug and alcohol testing programs, and drive policy improvements.

You will train staff, monitor operations for compliance gaps, manage accidents investigations, and ensure timely reporting to authorities with a strong emphasis on accuracy and safety.

Qualifications

  • Minimum of 3 years of experience in DOT compliance or a related field.
  • Strong knowledge of FMCSA/DOT regulations and industry standards.
  • Excellent organizational, analytical, and problem-solving skills.
  • Willing to travel.
  • Knowledge of FMCSA Clearinghouse.
  • Exceptional communication and interpersonal skills.
  • Detail-oriented with a focus on accuracy and thorough documentation.
  • Proficiency in using relevant software and tools for record-keeping and reporting.
  • Ability to work independently and lead compliance initiatives effectively.
  • Solid understanding of DOT regulations including FMCSRs and related transportation laws.

Responsibilities

  • Regulatory Compliance: ensure strict adherence to DOT regulations (HOS, maintenance, qualifications, testing, ELDs, IFTA).
  • Policy oversight: maintain DOT compliance policies reflecting regulations and best practices.
  • Training: conduct DOT compliance training for employees, drivers, and staff.
  • Record Keeping: audit and maintain DOT-related records (qualification files, inspections, maintenance).
  • Monitoring and Auditing: regularly audit operations to identify gaps and take corrective actions.
  • Driver Qualification: oversee driver qualification processes and background checks.
  • Drug and Alcohol Testing: oversee regional testing program (random, post-accident, reasonable suspicion).
  • Vehicle Maintenance: ensure all vehicles meet DOT safety standards.
  • Accident Investigation: lead investigations and report to authorities.
  • Documentation and Reporting: prepare and submit audits and employee information reports.
  • Continuous Improvement: stay current and propose policy/operational improvements.
  • Emergency Response: oversee emergency response plans and training.
  • Auditing: visit branches to perform audits on DQ files, DVIR, clearinghouse.

Job description

Ensure strict compliance with all DOT regulations, including but not limited to hours of service (HOS), vehicle maintenance, driver qualification, drug and alcohol testing, electronic logging devices (ELDs), and quarterly IFTA reporting.

Responsibilities
  • Regulatory Compliance:Ensure strict compliance with all DOT regulations, including but not limited to hours of service (HOS), vehicle maintenance, driver qualification, drug and alcohol testing, electronic logging devices (ELDs), and quarterly IFTA reporting.
  • Policy oversight:Maintain comprehensive DOT compliance policies and procedures, reflect current regulations and industry best practices, and ensure the policies are followed.
  • Training:Conduct DOT compliance training for employees, drivers, and other relevant personnel to ensure understanding and adherence to policies and procedures.
  • Record Keeping:Maintain and audit records to ensure up-to-date records of all DOT compliance-related activities, including driver qualification files, inspection reports, and maintenance records.
  • Monitoring and Auditing:Regularly audit and monitor the company's operations to identify compliance gaps, assess risk, and take corrective actions as needed.
  • Driver Qualification:Oversee the driver qualification process, including reviewing driver applications, conducting background checks, and ensuring all drivers meet DOT requirements.
  • Drug and Alcohol Testing:oversee the regional drug and alcohol testing program, ensuring random testing, post-accident testing, and reasonable suspicion testing are conducted in accordance with regulations.
  • Vehicle Maintenance:Oversees vehicle maintenance programs, ensuring all vehicles are properly maintained and meet DOT safety standards.
  • Accident Investigation:Lead accident investigations and ensure all required reporting to the appropriate authorities and agencies is completed accurately and in a timely manner.
  • Documentation and Reporting:Prepare and submit required reports to the company, including Audit findings, employee information, etc.
  • Continuous Improvement:Stay current with DOT regulations and industry trends and recommend improvements to policies, procedures, and operations to enhance compliance and safety.
  • Emergency Response:oversee emergency response plans for transportation-related incidents and ensure employees are trained in emergency procedures.
  • Auditing:visiting all the branches in the region to perform audits on DQ files, Vehicle audits, clearinghouse, DVIR, etc.
Requirements
Preferred Qualifications
  • Minimum of 3 years of experience in DOT compliance or a related field.
  • Strong knowledge of FMCSA/DOT regulations and industry standards.
  • Excellent organizational, analytical, and problem-solving skills.

  • The capacity to handle multiple tasks and priorities simultaneously is often necessary in this role.
