Job summary

The Children’s Institute of Pittsburgh is seeking a Development Operations Associate to provide essential operational, administrative, and data management support to advance fundraising goals. The role emphasizes accurate gift processing, donor services, and reliable data to strengthen philanthropic relationships.

Key duties include managing gift entries and acknowledgments, supporting CRM reports and dashboards, and assisting with staff coordination and process improvement.

Qualifications

• Associate or bachelor’s degree or equivalent combination of education and experience.
• 3–5 years of experience in administration, data management, customer service, fundraising, finance support, or related field.
• Strong proficiency in Microsoft Office (Word, Excel, Outlook) and comfort with data-heavy tasks.
• Familiarity with donor database systems (Clearview, Raiser's Edge, Salesforce, DonorPerfect) strongly preferred.
• Experience preparing reports, dashboards, or data visualizations for fundraising or business operations.

Responsibilities

• Manage all gift entries, receipting, acknowledgment, and reconciliation with Finance, ensuring accuracy and donor-centered service.
• Generate and send donor acknowledgment letters and tax receipts within policies and IRS requirements.
• Produce timely reports on fundraising performance, donor retention, campaign results, and pipeline activity for Advancement leadership.
• Support dashboards and data visualizations tracking progress toward fundraising goals.
• Provide administrative support to the Advancement team, including scheduling, materials, file maintenance, and documenting procedures.
• Document and help improve gift-processing, reporting, stewardship, and database workflows while maintaining internal controls.
