Job summary

Forefront Dermatology is seeking a Patient Service Representative to serve as the frontline contact in a dermatology/plastics clinic. The role supports patient experience through registration, scheduling, EHR tasks, and payment collection, while safeguarding confidential information.

You will open/close the clinic, greet patients, collect payments, manage appointments, and coordinate with billing and clinicians. Strong customer service and HIPAA awareness are essential.

Qualifications

• High School Diploma or GED required.
• Experience in medical office, front-desk, or customer service preferred.
• Proficient with Microsoft Office, EHR systems, and scheduling software.
• Strong communication, organization, and multitasking skills in a fast-paced clinic.
• Ability to maintain patient confidentiality per HIPAA.

Responsibilities

• Open/close the clinic; count, document, and reconcile cash boxes and daily payment totals.
• Greet, check in, and check out patients; verify/update demographic, insurance, consent information in electronic systems.
• Collect co-pays, balances, cosmetic payments; issue receipts and maintain cash log documentation.
• Maintain a welcoming waiting-room environment and communicate appointment delays as appropriate.
• Schedule, reschedule, and confirm appointments; monitor additions, cancellations, no-shows, recalls, and schedule changes.
• Complete patient outreach to support scheduling, recalls, verification, and required information.
• Prepare upcoming appointments by reviewing charts for required forms, referrals, eligibility, and docs.
• Scan, organize, and manage records in the EHR; referrals, lab results, authorizations, and releases.
• Answer, screen, and route calls; coordinate with billing, call center, clinicians, and teams.
• Coordinate referrals and appointment requests per procedures and templates.
• Process and track retail products and inventory per SOPs.
• Support front-desk documentation, end-of-day reporting, and discrepancy communication to leadership.
• Assist onboarding and day-to-day guidance for front-desk team members.
• Handle patient concerns professionally and escalate as needed to leadership.
• Complete required compliance training and meetings and perform other duties.
