Job description

Wor-Wic Community College is accepting applications for a dean's associate. This position provides operational, outreach and assessment support for the continuing education and workforce development division and coordinates the production of the CE print brochure and web page updates. This position may be required to work evenings and/or weekends to support outreach and other campus events.

Essential Duties

The following list is not intended as, nor should it be construed as, exhaustive of all responsibilities, skills or working conditions associated with this position.

  • Coordinates the preparation of the CEWD print brochure three times per year, including creating production schedules, communicating with CEWD staff, internal departments and external partners, and laying out and proofing copy
  • Provides outreach and contract training support for the dean and director of CEWD partnerships including, but not limited to, tracking enrollment in CE courses and generating reports for marketing purposes, creating and maintaining program resource guides, communicating with marketing and other internal departments, supporting the creation of email campaigns and flyers, acting as a liaison between the dean and external stakeholders, supporting contract and partnership training logistics and representing the division at outreach events
  • Uses mission-critical software, including but not limited to, Workforce Connect, Nuventive, Blackboard, Microsoft Forms, Explorance Blue, Credly and Soft Docs to support outreach activities and office operations
  • Provides operational support for the dean, director of CEWD operations and other CEWD administrators including, but not limited to, routing mail, completing purchase requisitions and check requests, reconciling and monitoring the CEWD division and grant budgets, making travel arrangements, tracking and filing submissions such as syllabi and contract training documentation, generating reports, creating meeting minutes, scheduling meetings, processing leave requests and timesheets, maintaining signature file, maintaining the copy/mailroom and monitoring office supplies, and ensuring all office supplies are ordered for the division in a timely manner
  • Helps to process CE website update requests and makes content changes to CE web pages; creates monthly CE web spotlights
  • Provides leadership within the division by troubleshooting problems, supporting morale, acting as a liaison to the dean, providing instructions, answering questions and providing employee training
  • Serves as backup to CEWD front desk staff, including reception
  • Performs other duties as assigned
Minimum Requirements
  • Associate degree in a relevant field
  • Four years of office experience (Bachelor's degree can be substituted for the four years of experience)
  • Excellent Microsoft 365, database, mathematical, organizational, attention to detail, human relations, teamwork, and verbal and written communication skills
  • Valid driver's license and reliable transportation required; this position requires periodic travel to off-site training locations and outreach events
  • Preference will be given to applicants with desktop publishing and web editing (preferably Canva) experience
Supplemental Information

This is a full-time standard support staff position. The starting wage will likely range from $25.33 per hour to approximately $31.10 per hour, based on qualifications and experience. Days and hours of work are Mon. - Fri., 8 a.m. - 4:30 p.m. (1 hour lunch). Evening and weekend hours may be required periodically.
