Job summary

Qualifications

• High school diploma or equivalent required.
• Minimum of 2 years of customer service experience in distribution, manufacturing, or B2B.
• Strong verbal and written communication skills.
• Excellent organizational and time management abilities.
• Proficient in Microsoft Office.
• Experience with ERP/CRM or order management systems preferred.

Responsibilities

• Respond to customer inquiries via phone, email, and other channels in a timely and professional manner.
• Provide accurate product, pricing, order status, freight, and program information to customers.
• Build positive customer relationships and promote customer satisfaction.
• Address and resolve customer concerns and account inquiries within guidelines.
• Maintain detailed records of customer interactions and account activity.
• Support customers with account setup, updates, and maintenance.
• Process customer purchase orders accurately and efficiently.
• Review orders for completeness and accuracy prior to release.
• Prepare and distribute order acknowledgements.
• Handle order revisions and shipping updates.
• Prepare packing lists and documentation for order fulfillment.
• Coordinate with warehouse regarding order changes and shipment paperwork.
• Review open order reports and assist with follow-up.
• Process customer invoices accurately and according to procedures.
• Review shipping documentation to support invoicing.
• Match invoices with order documents and maintain filing systems.
• Assist customers with billing questions and account inquiries.
• Support credit application processing with required references.
• Maintain accurate customer records in ERP/CRM systems.
• Enter and update customer, pricing, and order data.
• Generate reports and retrieve documentation as needed.
• Answer and route incoming calls and welcome visitors.
• Distribute mail and maintain office files and supplies.
• Support sales and internal departments with customer information.
