Job summary

Pensacola State College is seeking a Payroll Coordinator at the Pensacola Campus. This 12-month professional non-exempt position ensures timely and accurate payroll processing, reconciles labor distribution with the college accounting system, and updates payroll records as needed.

You will prepare tax deposits, unemployment and retirement reports, and collaborate with Human Resources on deductions and new hire setup.

Qualifications

  • Bachelor’s degree in accounting or related field from an accredited institution.
  • Two years of full-time accounting or payroll experience required.
  • Knowledgeable in database software, payroll systems, spreadsheet programs, and word processing.
  • Certified Payroll Professional certification is preferred.
  • Successful results of a criminal background check required.

Responsibilities

  • Maintain employee payroll records, including new hires, promotions, transfers, and pay adjustments, to ensure system data matches the accounting system.
  • Set up adjunct and faculty overload electronic contracts each term.
  • Balance payroll salary encumbrances and liquidations with the college accounting system.
  • Prepare payroll budget amendments and journal entries.
  • Prepare bi-weekly federal tax deposits and Form 941.
  • Prepare state quarterly unemployment report (Form UCT-6).
  • Process state monthly retirement reports from bi-weekly payroll.
  • Assist supervisors and employees with timekeeping and pay questions.
  • Work with Human Resources on deductions, new hire setup, and changes to employee pay.
  • Follow safety practices and report unsafe conditions.
  • Perform other duties as assigned.

Job Description:

The Coordinator, Payroll is a 12-month professional non-exemptposition located at Pensacola State College's Pensacola Campus. TheCoordinator, Payroll is involved with the college payroll to ensurethe process is accomplished timely and accurately. This positionensures that the labor distribution from the bi-weekly payrollreconciles with the College’s accounting system and implements newand changed position assignments within the personnel and payrolldatabase in the maintenance of records associated with the payrollprocess. Reports to the Director, Payroll Services.

Essential Duties and Responsibilities:
  • Maintains employee payroll records, including new hires,promotions, transfers, and pay adjustments, to ensure system datais matched with the accounting system.
  • Reviews documents and transactions for accuracy and sets upadjunct and faculty overload electronic contracts each term.
  • Balances payroll salary encumbrances and liquidations with thecollege accounting system.
  • Prepares payroll budget amendments and journal entries.
  • Prepares bi-weekly federal tax deposit and works on theemployer’s quarterly federal tax return (Form 941).
  • Prepares state quarterly unemployment report (Form UCT-6).
  • Processes state monthly retirement reports generated frombi-weekly payroll.
  • Assists supervisors and employees who have questions concerningtimekeeping and pay issues.
  • Work closely with the Human Resources Department to accomplishdeductions, new hire setup, and changes to employee pay.
  • Responsible for knowing and conforming to all safety practicesand regulations that apply to this
  • specific area and position. Unsafe conditions should bereported to the immediate supervisor and the PSC PoliceDepartment/Public Safety
  • Performs other duties as assigned.
Essential Functions:
  • Strong mathematical and accounting skills.
  • Ability to communicate effectively verbally and inwriting.
  • Strong organizational skills with the ability to work in adynamic, fast-paced environment while effectively managing multipleprojects, changing priorities, and meeting deadlines.
  • Ability to compose and present clearly and effectivelyinformation to individuals and groups verbally and in writing.
  • Ability to respond to inquiries from the workforce, andmanagement within the department.
  • Demonstrated proficiency in computing skills with MicrosoftOffice with an emphasis in spreadsheet work in Excel.
  • In-district and possible overnight travel.
Minimum Qualifications:

Graduation from with a bachelor’sdegree in accounting or other related business field from aninstitution that holds accreditation recognized by the U.S.Department of Education and approved by the College, two yearsfull-time accounting or payroll experience required. Two years ofexperience can substitute for one year of education. Knowledgeablein database software, payroll systems, spreadsheet programs, andword processing. Certified Payroll Professional certification ispreferred. Successful results of a criminal background check arerequired.

Per F.S. 295.065 – Certain servicemembers and veterans, and thespouses and family members of such servicemembers and veterans,will receive preference and priority, and certain servicemembersmay be eligible to receive waivers for postsecondary educationalrequirements.

Pursuant to College policy, it is an employment eligibilityrequirement for an applicant to meet the requirements of §435.04(2), Florida Statutes, related to background investigations.Any person failing to meet the requirements of the statute will be deemed not qualified to hold employment in this position. A FloridaDepartment of Law Enforcement (FDLE) approved background check will be conducted on every successful candidate as a condition ofemployment, and any person who fails to disclose any adverseinformation contained in the background investigation at the timeof submitting the employment application will be disqualified fromemployment.

SALARY RANGE: $57,500.00 - $65,000.00 ( $29.49 -$33.33/hour )
