Pensacola State College is seeking a Coordinator, Payroll to manage the bi-weekly payroll process and ensure accurate labor distribution and records reconciliation at the Pensacola Campus.

The role reports to the Director, Payroll Services and requires a bachelor’s degree in accounting or related field with payroll experience. Florida background checks and compliance are required. This is a 12-month professional non-exempt position.

  • Balances payroll encumbrances and journal entries with the accounting system.
  • Prepares bi-weekly tax deposits and quarterly tax returns (Form 941).
  • Performs other duties as assigned.

Job Description: The Coordinator, Payroll is a 12-month professional non-exempt position located at Pensacola State College's Pensacola Campus. The Coordinator, Payroll is involved with the college payroll to ensure the process is accomplished timely and accurately. This position ensures that the labor distribution from the bi-weekly payroll reconciles with the College’s accounting system and implements new and changed position assignments within the personnel and payroll database in the maintenance of records associated with the payroll process. Reports to the Director, Payroll Services.

Essential Duties and Responsibilities:
  • Maintains employee payroll records, including new hires, promotions, transfers, and pay adjustments, to ensure system data is matched with the accounting system.
  • Reviews documents and transactions for accuracy and sets up adjunct and faculty overload electronic contracts each term.
  • Balances payroll salary encumbrances and liquidations with the college accounting system.
  • Prepares payroll budget amendments and journal entries.
  • Prepares bi-weekly federal tax deposit and works on the employer’s quarterly federal tax return (Form 941).
  • Prepares state quarterly unemployment report (Form UCT-6).
  • Processes state monthly retirement reports generated from bi-weekly payroll.
  • Assists supervisors and employees who have questions concerning timekeeping and pay issues.
  • Work closely with the Human Resources Department to accomplish deductions, new hire setup, and changes to employee pay.
  • Responsible for knowing and conforming to all safety practices and regulations that apply to this specific area and position.
  • Unsafe conditions should be reported to the immediate supervisor and the PSC Police Department/Public Safety.
  • Performs other duties as assigned.
Essential Functions:
  • Strong mathematical and accounting skills.
  • Ability to communicate effectively verbally and in writing.
  • Strong organizational skills with the ability to work in a dynamic, fast-paced environment while effectively managing multiple projects, changing priorities, and meeting deadlines.
  • Ability to compose and present clearly and effectively information to individuals and groups verbally and in writing.
  • Ability to respond to inquiries from the workforce, and management within the department.
  • Demonstrated proficiency in computing skills with Microsoft Office with an emphasis in spreadsheet work in Excel.
  • In-district and possible overnight travel.
Minimum Qualifications:
  • Graduation from with a bachelor’s degree in accounting or other related business field from an institution that holds accreditation recognized by the U.S. Department of Education and approved by the College, two years full-time accounting or payroll experience required.
  • Two years of experience can substitute for one year of education.
  • Knowledgeable in database software, payroll systems, spreadsheet programs, and word processing.
  • Certified Payroll Professional certification is preferred.
  • Successful results of a criminal background check are required.
  • *Per F.S. 295.065 – Certain servicemembers and veterans, and the spouses and family members of such servicemembers and veterans, will receive preference and priority, and certain servicemembers may be eligible to receive waivers for postsecondary educational requirements.
  • Pursuant to College policy, it is an employment eligibility requirement for an applicant to meet the requirements of § 435.04(2), Florida Statutes, related to background investigations.
  • Any person failing to meet the requirements of the statute will be deemed not qualified to hold employment in this position.
  • A Florida Department of Law Enforcement (FDLE) approved background check will be conducted on every successful candidate as a condition of employment, and any person who fails to disclose any adverse information contained in the background investigation at the time of submitting the employment application will be disqualified from employment.

SALARY RANGE: $57,500.00 - $65,000.00 ($29.49 - $33.33/hour)
