Job summary

Bank of China USA is seeking a detail-oriented staff assistant to support resource management, staffing administration, and third-party vendor coordination in our New York operations. This role emphasizes accuracy, organization, and clear communication across teams.

Daily duties include managing fixed assets processes, review of attendance data, preparing routine reports, and assisting in onboarding vendors.

Qualifications

  • Excellent technical skills with Excel, Word, PowerPoint, and Outlook.
  • Attention to detail.
  • Strong writing skills.
  • Bilingual preferred (English and Mandarin).

Responsibilities

  • Resource management – fixed assets lifecycle tasks such as purchase, write-off, replacement, annual check, relocation.
  • Staffing administration – attendance review, job descriptions, performance evaluation related tasks.
  • ID/access administration – system access/ID management, record retention, subscription, etc.
  • Daily operation – invoice payment, expenditure tracking, RFIs, event assistant, etc.
  • Third party vendor management – coordinate and facilitate vendor onboarding, exit, ongoing monitoring and other related requests.
  • Reporting – help to prepare reports as needed and participate in special projects and other duties as assigned.
  • Others – ad hoc projects to facilitate cross-departments communication and collaboration.
