Job summary

Trane Technologies in Memphis, TN, is seeking a Project Administrator in our Contracting group to support project documentation, procurement, job costing, invoicing and closeout from award to completion.

Under moderate supervision, you will coordinate with Project Managers, internal teams and external customers to ensure timely delivery and accurate billing, with a focus on compliance and fast-paced execution.

Qualifications

• High School diploma or GED with up to two years of related experience.
• Strong communication skills and the ability to work independently or in a team.
• Experience with financial systems and basic accounting is a plus.
• Familiarity with construction law/regulations is a plus.
• Ability to prioritize tasks to meet tight deadlines in a fast-paced environment.
• Willingness to work overtime/weekends as required.

Responsibilities

• Follow established standard work and processes using enterprise systems.
• Coordinate the transition of projects from Sales to Operations within enterprise systems.
• Administer projects through life cycle to ensure contract compliance and delivery, coordinating with leadership, contract management, legal, and financial services.
• Manage procurement processes per project requirements with guidance from Project Manager/Engineer.
• Coordinate monthly customer invoicing per requirements and PM direction for timely and accurate billing.
• Coordinate with project team for recording costs, time sheets, forecasting, vendor invoices, and project reports.
• Review billing backlog and communicate with PMs, BAS, HVAC field technicians, customers, and Trane claims to resolve obstacles.
